The Executive Assistant will providehigh-level administrative, executive, and project coordination support to thePresident, CEO, and Secretary Treasurer. This role manages schedules, travel, meetings, reports, andbusiness priorities while coordinating corporate initiatives, special projects,and events. The Executive Assistant works closely with internal teams andexternal partners to ensure projects are delivered efficiently, professionally,and with a high level of discretion.
This position requires aproactive, detail-oriented individual who is highly confidential, organized,and comfortable working directly with senior leaders across a multi-sitebusiness.
Key Responsibilities
Executive & AdministrativeSupport
- Provide comprehensive administrative support tothe President, CEO, and Secretary Treasurer, including calendar management, correspondence, and document preparation.
- Act as a gatekeeper for requests,communications, and scheduling, prioritizing issues based on business impact.
- Prepare agendas, briefing materials, andfollow-up action lists for meetings.
- Handle sensitive and confidential informationwith a high degree of professionalism and discretion.
Reports & Business Support
- Prepare executive reports, summaries,presentations,
and data analysis to support decision-making.
- Track key initiatives, deadlines, andcommitments on behalf of the President, CEO, and Secretary Treasurer.
- Coordinate and support cross-functionalprojects, corporate and charitable initiatives, ensuring timelines,deliverables, and stakeholders remain aligned.
- Assist with special projects, lease management,and business initiatives as assigned.
Travel & AccommodationCoordination
- Arrange all travel, including flights,accommodations, ground transportation, and itineraries.
- Anticipate travel requirements and proactivelymanage changes, disruptions, and contingency planning.
- Ensure all travel aligns with businesspriorities, preferences, and cost-effectiveness.
Meetings & Event Planning
- Coordinate corporate regional and fall meetings,leadership meetings, and other executive events.
- Plan and manage logistics for company events, conferences,and off-site gatherings (venues, accommodations, travel, materials, andschedules).
- Lead the coordination of recurring corporateprograms and events, working with vendors and internal stakeholders to ensureseamless execution.
Liaison & Communication
- Serve as a key point of contact between thePresident, internal leadership, and external partners.
- Draft and manage skilled correspondence onbehalf of the President and CEO, and Secretary Treasurer.
- Support communication flow across departmentswhile maintaining confidentiality and clarity.
Qualifications &Experience;
- 5+ years of experience as an Executive Assistantsupporting senior executives, owners, or principals.
- Proven ability to coordinate multiple priorities,projects, corporate events, and executive travel simultaneously.
- Proficiency in Microsoft Office (Outlook, Word,Excel, PowerPoint).
- Experience in retail, multi-location, or family-operatedbusinesses is an asset.
- Exceptional organizational and time-managementskills.
- Strong project coordination and prioritizationabilities, with the capacity to manage multiple concurrent initiatives.
- High level of discretion, integrity, andprofessionalism.
- Strong analytical and written communication skills.
- Ability to anticipate needs and work independentlywith minimal direction.
- Calm, solution-oriented approach in fast-paced orhigh-pressure situations.
