Key Responsibilities
Property Operations & Facilities Management
- Conduct regular inspections of commercial and industrial properties to ensure buildings, common areas, parking lots, landscaping, signage, and building systems are properly maintained.
- Identify maintenance requirements proactively and coordinate repairs through qualified contractors.
- Manage preventative maintenance programs and oversee work orders from initiation through completion.
- Source, negotiate, and manage relationships with vendors and service providers, including HVAC, electrical, plumbing, landscaping, cleaning, and snow removal contractors.
- Review contractor performance and approve invoices upon satisfactory completion of work.
- Coordinate capital improvement projects and provide recommendations for building upgrades and repairs.
- Ensure all building systems are maintained in accordance with applicable regulations and industry best practices.
- Monitor compliance with Ontario Building Code, Fire Code, AODA accessibility standards, municipal bylaws, and health and safety requirements.
Tenant Relations & Lease Administration
- Serve as the primary point of contact for commercial and industrial tenants.
- Respond promptly to tenant inquiries, maintenance requests, and operational concerns.
- Maintain positive tenant relationships through regular communication and site visits.
- Monitor lease agreements, including renewals, rent escalations, insurance requirements, and critical dates.
- Administer lease obligations and ensure compliance with lease terms.
- Coordinate tenant move-ins, move-outs, inspections, and deficiency reporting.
- Monitor rent collections, arrears, and lease compliance, escalating issues when appropriate.
- Prepare and coordinate Common Area Maintenance (CAM)
reconciliations where applicable.
Leasing & Vacancy Management
- Coordinate marketing efforts for vacant commercial and industrial units.
- Build relationships with commercial leasing brokers and industry partners.
- Conduct property tours and assist prospective tenants throughout the leasing process.
- Review tenant applications, financial information, and supporting documentation.
- Assist with Letters of Intent and lease documentation in collaboration with ownership and legal representatives.
- Monitor occupancy levels and develop strategies to minimize vacancy.
- Stay informed on local market conditions, rental rates, and leasing trends.
Financial Management
- Assist in preparing and managing annual operating and capital budgets.
- Monitor operating expenses and identify cost‑saving opportunities.
- Review and approve invoices, purchase orders, and vendor payments.
- Prepare monthly operational and financial reports, including occupancy, budget variances, and property performance.
- Maintain accurate records of leases, contracts, insurance certificates, maintenance activities, and tenant correspondence.
Risk Management & Compliance
- Ensure properties comply with applicable health, safety, environmental, and accessibility regulations.
- Coordinate inspections, preventative maintenance, and regulatory testing.
- Monitor insurance requirements for tenants, contractors, and property operations.
- Assist with long‑term capital planning and asset preservation initiatives.
- Promote safe operating practices across all managed properties.
Qualifications
Required
- 4-7 years of commercial property management experience, preferably managing retail and industrial properties.
- Experience overseeing multiple properties simultaneously.
- Strong knowledge of commercial lease administration and CAM reconciliations.
- Experience managing contractors, vendors, and building operations.
- Working knowledge of Ontario commercial property regulations and building standards.
- Proficiency with property management software such as Yardi, MRI, Buildium, or similar platforms.
- Strong financial acumen with experience managing budgets and operating expenses.
- Excellent communication, negotiation, organizational, and problem‑solving skills.
- Valid Ontario driver's licence and willingness to travel between properties.
Preferred
- CPM (Certified Property Manager), RPA (Real Property Administrator), or progress toward a professional designation.
- Experience with commercial leasing and tenant acquisition.
- Familiarity with Ontario Building Code, Fire Code, AODA, and applicable health and safety regulations.
- Experience working with commercial real estate portfolios or multi‑property operations.
