Position Overview The Executive Assistant is a trusted partner to the President, Chief Operating Officer & Chief Digital and Information Officer, providing proactive, high-level support that enables them to operate at their highest level. This role requires exceptional organizational capability, professional maturity, and comfort working in a fast-paced, dynamic environment. About The Role Executive Support & Prioritization Act as a strategic extension of the executive; anticipating needs, managing priorities, and ensuring focus on the most critical work. Manage complex and evolving calendars with precision, balancing priorities, dependencies, and shifting timelines. Prepare briefing materials, pre-reads, agendas, and follow-ups to ensure the executives are always prepared and informed.



Oversee both in-office and virtual workflows, proactively managing daily changes to ensure executive schedules and office operations run seamlessly. Serve as a central point of coordination for in-office and virtual activities. Operations & Administration Coordinate travel with attention to efficiency, cost, and preference; prepare detailed itineraries and ensure seamless execution. Process expense reports, vendor invoices, and payments accurately and in a timely manner. Support the planning and logistics of meetings, off‑sites, workshops, and executive‑level events. Review documents, presentations, and correspondence for clarity, accuracy, and quality; make edits and recommendations as needed. Communication & Stakeholder Management Serve as a key communication gatekeeper by screening inquiries, triaging requests, and ensuring timely follow‑up. Build strong relationships across the organization and act as a professional representative of the executives. Facilitate smooth communication with internal leaders, external partners, and cross‑functional teams. Other Responsibilities Contribute to ad hoc projects, operational improvements, and team initiatives as required. Maintain confidentiality and handle all sensitive information with discretion and sound judgment. Adapt to changing priorities and respond with flexibility and a solutions‑oriented mindset. About You 5 years' experience in a Senior Administrative role (Consumer Goods, Fashion, Luxury, Finance or Technology industries will be advantageous). Exceptional organizational skills with the ability to manage multiple streams of work with urgency and calm. Strong attention to detail and a high bar for accuracy ("right the first time" mindset). Excellent written and verbal communication skills, with a professional and diplomatic approach.



Ability to exercise independent judgment and build relationships across all levels. Demonstrated experience navigating ambiguity, solving problems proactively, and operating with minimal direction. Robust project management and scheduling capabilities. High integrity, discretion, and commitment to confidentiality. Professional presence, sound decision‑making, and the ability to represent the executives with confidence and credibility. Availability to support time‑sensitive needs beyond standard business hours when necessary. Working Conditions Hybrid role with a minimum of 3 days in the office. What’s in it For You?
