The organization values inclusivity, teamwork, and continuous improvement, and is committed to creating a supportive workplace focused on excellent patient outcomes and professional growth Position Overview The Executive Assistant to the Head of Growth & Strategy is a senior, trusted partner who provides comprehensive executive, operational, and project-based support in a fast-paced healthcare environment. This role is ideal for a highly organized, proactive Executive Assistant who thrives on complexity, anticipates needs, and operates with discretion, confidence, and initiative. Acting as an extension of the Head of Growth & Strategy, you will support both strategic priorities and day-to-day execution across growth initiatives, marketing, communications, partnerships, operations, and special projects. This role goes well beyond traditional administrative support and requires strong judgment, technological fluency, and the ability to manage multiple priorities simultaneously. You will serve as a key liaison between executive leadership, internal teams, and external partners, ensuring alignment, follow-through, and seamless execution. Key Responsibilities (Subject to change; not limited to the responsibilities below) Executive Email & Calendar Management Proactively manage a complex executive calendar, including scheduling meetings, coordinating events, and resolving conflicts Triage and manage high-volume email correspondence, ensuring timely responses, follow-ups, and prioritization Identify urgent or high-impact communications and escalate appropriately Independently track action items and follow up to ensure completion Prepare and send next-day calendar summaries to the Head of Growth & Strategy Maintain organized digital files, correspondence, and records Marketing, Communications & Project Management Support corporate communications, public relations, and media initiatives Coordinate marketing and PR events, ensuring calendars account for preparation and travel time Serve as a primary point of contact for vendors, consultants, and internal and external partners Track and manage marketing assets,
creative materials, and promotional inventory Review marketing materials, brochures, advertisements, and outbound communications prior to executive review Collect, consolidate, and communicate executive feedback to marketing, PR, and advertising partners Track project timelines, deliverables, approvals, and creative assets Reconcile marketing and advertising budgets, invoices, and payments Maintain organized repositories for marketing photos, assets, ads, and materials Review monthly social media calendars and provide constructive feedback to support content planning Coordinate events from planning through execution, including logistics, materials, presentations, vendors, and media support Conduct market and site research to support growth initiatives, including demographic analysis, visibility, access, and competitive landscape Administrative & Executive Operations Support Provide executive-level administrative support, including organizing reports, documents, and presentations Act as a liaison between the Head of Growth & Strategy, executive leadership, employees, and external stakeholders Prepare agendas, meeting materials, executive communications, and summaries Attend meetings to record minutes, action items, and follow-ups Draft, edit, and process qualified correspondence, proposals, contracts, and agreements Organize and maintain executive digital workspaces and documentation systems Support the development, documentation, and maintenance of SOPs and internal protocols Prepare executive dashboards and reports aligned with KPIs for daily and weekly review Identify workflow gaps, risks, and opportunities for operational improvement Manage competing priorities and respond effectively to urgent or unexpected matters Preserve confidentiality and exercise sound judgment in handling sensitive information Business, Events & Partnership Coordination Support the planning and execution of internal events, leadership meetings, and external engagements Coordinate town halls, offsites, partnership meetings, and growth-related events Negotiate with vendors to optimize pricing and value Support facilities, renovation, or operational improvement projects as required Represent the organization professionally at meetings and events Prepare and organize promotional materials, event collateral, and swag Act as a coordination point for sales and growth partners,
