Ottawa
For over 25 years, Fleming Property Management has been a cornerstone of Ottawa’s urban rental market as a privately held, family-owned firm. They specialize in acquiring, renovating, and managing character-rich residential properties, blending historic charm with modernized interiors to deliver premium urban living experiences.
The portfolio currently features over 600 boutique-style units across more than 50 addresses in Ottawa’s most desirable neighbourhoods, including Centretown, the Glebe, Sandy Hill, and the ByWard Market. Fleming Property Management pride themselves on a hands‑on management approach and qualified office culture where high staff retention is a testament to their environment - some team members have been with the family for over two decades.
As they look toward an ambitious future that includes expanding their portfolio and potentially venturing into property development, they are seeking a dedicated Finance Manager to lead the transition to an in‑house finance model and provide the hands‑on and strategic oversight necessary to support this continued growth.
Summary of the Role
Reporting directly to the President and collaborating closely with the next generation of family leadership, the Finance Manager will serve as the central point of coordination for the financial and administrative side of the business. This role combines senior financial leadership with operational business management, requiring a candidate who can navigate both high-level strategy and day‑to‑day execution.
The successful candidate will assume full oversight of all accounting and financial reporting functions, ensuring accuracy and regulatory compliance. Beyond the numbers, you will take ownership of the administrative infrastructure that supports the property management operations. By maintaining strong internal controls and modernizing business processes, you will provide the organizational stability necessary to support a growing and increasingly sophisticated organization.
This position offers significantly more scope than a traditional finance role. It is a unique opportunity to function as a trusted business partner to ownership, helping to shape the strategic direction and future trajectory of a respected family‑owned company. Your leadership will be instrumental as the business enters its next phase of growth, blending financial rigor with operational efficiency.
Ultimately, you will act as a key member of the leadership team, bridging the gap between historical success and future potential. By fostering a culture of continuous improvement and accountability, you will help position Fleming Property Management for long‑term success, ensuring that the infrastructure scales effectively alongside the expanding portfolio.
Is This For You?
The ideal candidate is an experienced leader with a CPA designation and progressive accounting and business management experience. Going beyond the scope of a conventional Controller role, this position presents a distinct opportunity to serve as a reliable business partner to the ownership group. You will act as the core coordinator for financial and administrative business functions, guaranteeing precise reporting while spearheading the strategic workflow enhancements.
Success in this role requires a deep understanding of property management accounting and financial reporting, alongside proficiency with Yardi or comparable ERP systems. The organization is looking for someone who brings a proactive, solutions‑oriented mindset to the table, and is capable of navigating the transition to an in‑house finance model.
You must be comfortable managing the administrative infrastructure that supports property management, ensuring that every facet of the business operates with organizational clarity and efficiency.
While technical expertise is essential, your strong communication and interpersonal skills will be vital in fostering a culture of teamwork and continuous improvement. You will be expected to maintain high standards of integrity, professionalism, and discretion, acting with sound business judgment in all matters. As a key member of the leadership team, your ability to work independently while collaborating effectively with ownership will help shape the future of Fleming Property Management for years to come.
What Success Looks like at the End of Your First Year
At the end of the first year, you will have firmly established yourself as the operational and financial backbone of Fleming Property Management. Ownership will have complete confidence that the company’s financial reporting is not only accurate and timely but also deeply reliable. By this point, administrative operations are fully organized and well‑documented. Thanks to strong internal controls and standardized processes, the leadership team is fully equipped to make confident, informed decisions.
Your improved system will ensure a steady flow of meaningful financial insights that actively support planning and future growth. This new operational efficiency allows the ownership group to transition their focus toward high‑value activities, such as pursuing acquisitions, evaluating development opportunities, driving strategic initiatives, and mentoring the next generation of leadership.
Most importantly, you will have proven yourself as a trusted partner. Your leadership, professionalism, and daily commitment have measurably strengthened the organization's culture and operations, positioning Fleming Property Management to thrive in its next phase of growth and long‑term success.
