The Opportunity
As an Executive Assistant supporting a C‑level executive, you will operate at the heart of enterprise leadership—enabling strategic focus, seamless execution, and confident decision‑making within a complex, fast‑paced environment. Acting as a trusted partner and extension of the executive, you will bring structure, foresight, and discretion to priorities that span national or global operations. This role is ideal for a highly experienced executive assistant who thrives in complexity, exercises sound judgment, and takes pride in enabling leadership impact at the highest level.

Your Impact

Enable executive effectiveness by providing high‑level, end‑to‑end support to a C‑suite leader, ensuring focus on strategic priorities and organisational outcomes.

Strategically manage complex calendars and priorities, balancing internal leadership commitments, external engagements, governance activities, and competing deadlines across time zones where applicable.

Act as a trusted liaison and gatekeeper, facilitating effective communication between the executive and senior leaders, board members, clients, partners, and key external stakeholders.

Prepare and refine executive‑level materials, including correspondence, presentations, briefing notes, and reports, ensuring clarity, accuracy, and qualified tone.

Coordinate high‑level meetings and governance forums, including agenda development, preparation of briefing packages, minute‑taking, and follow‑up on actions.

Support executive‑sponsored initiatives and special projects by tracking milestones, coordinating contributors, and ensuring timely delivery of commitments.

Safeguard confidential and sensitive information, exercising mature judgement, discretion, and professionalism in all situations.

Contribute to enterprise resilience by providing backup support to other executive assistants and collaborating across administrative teams as needed.

The Skills That Set You Apart

Extensive experience (typically 10+ years) providing executive‑level support to senior leaders within large, complex organisations.

Proven capability supporting C‑suite executives (e.g., CEO, CFO, or equivalent) in highly confidential and fast‑moving environments.

Exceptional organisational and prioritisation skills, with the ability to anticipate needs, manage ambiguity, and perform under pressure.

Strong executive presence and communication skills, enabling confident interaction with senior leaders and external stakeholders.

Advanced proficiency in Microsoft Office and Outlook, including complex calendar and travel management; familiarity with enterprise systems and collaboration platforms is an asset.

Demonstrated sound judgement, discretion, and integrity when handling sensitive information and high‑stakes situations.

A proactive, resourceful mindset with the ability to work independently and bring structure to complexity.

Bilingual proficiency in English and French is considered an asset for roles supporting Canadian executives.
