Intake Coordinator (Remote)
PlayAbility Sports & Fitness
PlayAbility Sports & Fitness is growing, and we're looking for a compassionate, organized, and motivated Intake Coordinator to become the first point of contact for families interested in our adaptive sports and fitness programs for neurodivergent children.
This is a remote, commission-based opportunity that is ideal for someone who enjoys helping families, has excellent communication skills, and is passionate about making a meaningful impact in the autism community.
What You'll Do
As the Intake Coordinator, you will guide families through the enrollment process from their initial inquiry to the completion of their Occupational Therapy assessment.
Your responsibilities will include:
- Contacting parents within 1–2 business days after they inquire through our website or phone.
- Welcoming families and introducing them to PlayAbility's programs and services.
- Ensuring parents have received and completed the Intake Form.
- Answering questions regarding our programs, fees, locations, scheduling, start dates, and OAP eligibility.
- Coordinating Occupational Therapy assessment appointments with families.
- Following up with parents to ensure assessments are completed in a timely manner.
- Maintaining an organized client tracking spreadsheet and updating the status of every inquiry.
- Participating in weekly progress meetings with the President to review client updates and ensure a smooth intake process.

We're Looking For Someone Who Is
- Friendly, compassionate, and professional.
- An excellent communicator by phone and email.
- Highly organized and detail-oriented.
- Comfortable using Microsoft Excel or Google Sheets.
- Able to work independently and manage multiple families at once.
- Passionate about supporting neurodivergent children and their families.
Experience in customer service, healthcare, education, therapy clinics, recreation, or working with children is considered an asset, but it is not required.
