What Youll Do: Business Operations Support: Provides proactive administrative, operational, and logistical support to the Office of the Group Head, coordinating business activities, requests, documentation, and operational processes to support team objectives.
Financial Administration: Manages accounts payable, invoices, expenses, reimbursements, and budget-related administrative processes, ensuring accuracy, timeliness, and compliance with internal policies and procedures.
Technology & Asset Coordination: Coordinates technology requests, equipment setup, inventory management, and asset tracking, while partnering with internal technology teams to resolve issues and support business requirements.
Information & Data Management: Supports the collection, consolidation, tracking, and distribution of business information, reporting requirements, and operational data to facilitate effective decision-making and execution.
Calendar and Meeting: Coordinates calendars, schedules meetings, manages invitations, resolves scheduling conflicts, and ensures meeting logistics, materials, and agendas are organized to support effective business operations and stakeholder engagement.
Document & Records Management: Maintains organized records, shared repositories, operational trackers, and business documentation to ensure information is accurate, accessible, and appropriately maintained.
Stakeholder & Team Collaboration: Partners with leaders, business partners, and internal support teams to coordinate activities, resolve operational issues, and support the successful execution of business priorities and strategic initiatives.
Travel & Logistics Management: Arranges domestic and international travel, including itineraries, accommodations, transportation, and related logistics, ensuring seamless coordination and timely adjustments to support business activities.
Actively pursue effective and efficient operations of your respective areas in accordance with Scotiabanks Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk Champion a high-performance environment and contributes to an inclusive work environment What Youll Bring: Fluently bilingual English and Spanish are required Bachelor''s degree or equivalent work experience required 1 3 years of related experience supporting a C-Level Executive Ability to follow direction and manage tasks effectively in a fast-paced workplace Strong organizational, communication, and coordination skills Proficiency in Microsoft Office, including Word, Excel, Power
Point, and Outlook High attention to detail and ability to manage multiple priorities accurately Basic understanding of administrative processes, expense management, and office operations is an asset Professional and service-oriented approach when interacting with internal and external stakeholders Work Arrangement: This position is a hybrid role, with the expectation that you will work 3 days a week in the office.
