Job Overview
We are seeking an Experienced Dealership Operations Assistant to support the day-to-day administrative and operational functions of our dealership. Previous experience working in the automotive or powersports dealership industry is required. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced dealership environment.
This role is essential to ensuring efficient daily operations, maintaining accurate records, and supporting dealership processes. The successful candidate will demonstrate professionalism, strong administrative skills, and the ability to work independently.
Key Responsibilities
- Manage data entry and maintain accurate records using dealership CRM software, Microsoft Office, and Google Workspace.
- Perform a variety of administrative and clerical duties, including filing, document preparation, proofreading, and record management.
- Support dealership operations by processing paperwork accurately and ensuring all documentation is complete and properly filed.
- Maintain organized administrative systems and workflows while ensuring compliance with company policies and procedures.
- Assist with general office operations and provide administrative support to the dealership team.
Required Qualifications
- Minimum 1–2 years of administrative experience in an automotive or powersports dealership is required.
- Experience using dealership CRM software is required.
- Strong working knowledge of dealership operations, documentation, and administrative processes.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Excellent organizational, time management, and multitasking skills.
- High level of accuracy with data entry and record management.
- Strong written and verbal communication skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Self-motivated with the ability to work independently and as part of a team.
- Professional, dependable, and committed to maintaining confidentiality.
- Experience processing vehicle sales documentation, registrations, financing paperwork, or inventory records is considered a strong asset.
- Familiarity with dealership management systems (DMS) such as CDK, PBS, Dealertrack, Reynolds & Reynolds, or similar platforms is an asset.
- Experience with inventory management and dealership inventory systems is required or considered a robust asset.
