We're looking for an organized, proactive, and detail-oriented
Office Manager
to oversee the day-to-day operations of our Canadian branch. This is a key leadership position that supports every aspect of the business—from finance and operations to human resources and customer support.
What You'll Do As the Office Manager, you'll play a critical role in ensuring the efficient operation of our branch by: Managing daily office operations and administrative functions to support business efficiency.
Overseeing financial administration, including payroll, invoicing, expense approvals, commission calculations, reconciliations, and year-end accounting support.
Coordinating tax filings, insurance renewals, corporate reporting, and other compliance-related activities.
Managing vendor relationships, recurring contracts, service agreements, and operational expenses.
Supporting inventory management, stock movements, facility coordination, and internal operational priorities.
Tracking sales performance, assisting with pricing strategies,
managing customer follow-ups, and supporting revenue growth initiatives.
Preparing monthly reports, statistics, dashboards, and presentations for management meetings.
Organizing and participating in sales meetings, marketing meetings, and cross-functional planning sessions.
Leading recruitment activities, onboarding new employees and co-op students, and supporting employee development through regular meetings.
Assisting with benefits administration, salary reviews, performance discussions, and goal setting.
Managing various administrative banking and corporate tasks, including cheque deposits, transfers, and recurring business obligations.
What You'll Bring The ideal candidate will have: Previous experience in office management, operations, branch administration, or a similar business support role.
Strong knowledge of financial administration, including payroll, invoicing, reconciliations, and reporting.
Experience coordinating tax, insurance, and corporate compliance requirements.
Excellent organizational skills with the ability to manage multiple priorities and recurring deadlines.
Strong communication skills and exceptional attention to detail.
The ability to work independently while collaborating effectively with multiple departments.
Experience with recruitment, onboarding, or employee support (considered a strong asset).
A customer-focused approach with strong administrative and relationship management skills.
Fluency in English (additional languages are considered an asset).
Preferred Skills Advanced proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Experience working with ERP systems.
Strong analytical abilities with experience preparing reports and performance dashboards.
Excellent problem-solving and decision-making skills.
Adaptability and the ability to thrive in a quick-paced environment.
Strong interpersonal skills and the ability to build positive relationships with customers, vendors, and colleagues.
Professionalism and discretion when handling confidential information.
