Employment Type : Full-time, Permanent Location : Hybrid Salary Range : $80,000-$100,000 Summary : The Project Coordinator – EPC plays a critical role in supporting project managers and engineering teams to ensure projects are delivered on time, within budget and to high quality and safety standards. This role focuses on implementing best practices for planning, monitoring, reporting and controlling activities across engineering/design, procurement, construction, commissioning and project closeout phases. Acting as a liaison between technical teams, management, and stakeholders, the Project Coordinator ensures effective communication, data management, accurate documentation and reliable forecasting. The Project Coordinator - EPC position works within the Projects group and may be assigned to a single project team or support a number of projects based on our project requirements. Aiolos designs and builds specialized high-performance test facilities, primarily wind tunnels,



for automotive and aerospace industries worldwide. Based in Toronto, our team supports international clients through remote work and in office assignments. The Project Coordinator – EPC may need to travel internationally in support of the project execution. Responsibilities / Duties Identify and coordinate required contract and project deliverables Develop and maintain project schedules and work breakdown structures Assist with budget development, resources requirements and allocations Develop and maintain cost breakdown structures Ensure progress billings (AR) are prepared, accurate and issued Track procurement processes, including verification and approval of supplier (AP) invoices Analyze project progress and performance, identifying trends and areas for improvement to enhance project efficiency Prepare detailed status reports, variances analysis and performance metrics as per the reporting cycles Track actuals and prepare cash flow projections Identify, collect and manage risks, issues and opportunities, including mitigation plans Prepare and process change orders and related documentation Coordinate with business development, engineering, finance and operations support groups Maintain professional working relationships with all internal and external stakeholders. Assist them to resolve problems and liaise on the integration of systems Participate in project meetings and provide input on status,



technical and administrative matters Maintain accurate project records and master document register Prepare/Coordinate the operational manuals and project documentation and ensure it is up to date, including technical / administrative documents Administer project operational activities, such as property management, correspondence, IT requirements, travel logistics, etc. Perform other duties as assigned by the company Requirements / Qualifications Bachelor’s degree or Diploma in Business Administration, Engineering, Project Management 3+ years of experience in project coordination or support roles within engineering or construction Proven expertise in MS Excel and minimum 1 year experience with project management software and techniques, including MS Project and Microsoft Office Suite; SharePoint, PowerBI and LEAN principles are assets Strong organizational, analytical and communication skills with time management skills to meet deadlines and manage schedules and budgets A positive solution-oriented approach with desire to constantly learn, provide innovative ideas and take initiative Financial acumen for budgeting and cost control Experience in document control and revision management International travel and ability to accept project site assignments is considered an asset Multilingual abilities (Italian is considered an asset) About Us We are an engineering company specializing in the design and construction of test facilities for the automotive and aerospace industries.
