Reporting to the Corporate Controller and working closely with our Accounting and Human Resources teams, the Payroll, Benefits & Contractor Administrator is responsible for the accurate and timely processing of bi-weekly payroll, benefits administration, and contractor payments at Lankin Investments. This is a hands-on, payroll-focused role for someone who knows Ontario payroll legislation, takes pride in precision and confidentiality, and brings the energy to help build out our payroll processes and support the HR team in growing our ADP Workforce Now platform.
Key Accountabilities & Responsibilities
Payroll, Benefits & Contractor Administration
- Process semi-monthly payroll accurately and on schedule using ADP Workforce Now.
- Maintain employee payroll records, including new hires, terminations, vacations, salary changes, and leaves of absence.
- Coordinate employee benefit enrollments, changes, and terminations, and enroll new staff into company benefit plans.
- Serve as the primary point of contact for employee payroll.
- Process payments for independent contractors and consultants, ensuring proper documentation and approvals are maintained.
- Track contractor agreements, payment schedules,
and supporting records.
- Assist with year-end reporting requirements related to contractor payments and tax documentation.
- Allocate payroll across multiple entities and accurately record payroll journal entries in Yardi, ensuring strict confidentiality and discretion.
- Support accounting team by analyzing payroll variances and contributing to detailed financial analysis and reporting.
Compliance, HR & ADP Support
- Ensure payroll is processed in compliance with Ontario employment standards and statutory requirements, including EHT, WSIB, CRA remittances, ROEs, and T4s.
- Prepare ROEs, T4s, and paystubs, and respond to employee payroll requests and CRA audits/reviews.
- Assist the HR team with building out, configuring, and managing the ADP Workforce Now platform.
- Support employee onboarding and the documentation of payroll and HR processes alongside the HR team.
- Maintain accurate and confidential employee and payroll records at all times.
Leading Qualifications
The successful candidate will have a post-secondary education in payroll, accounting, business, or a related field, along with one to three years of Canadian payroll experience and a solid working knowledge of Ontario payroll legislation and employment standards. Completion of, or active progress toward, the Payroll Compliance Professional (PCP) designation through the National Payroll Institute is considered a solid asset. Experience with ADP Workforce Now is required,
as is experience processing employee expense reports and reconciling corporate credit card statements. The candidate will bring knowledge of accounts payable processes and contractor payment administration, paired with a strong understanding of payroll compliance, confidentiality, and internal controls. Advanced Microsoft Excel skills and exceptional attention to detail are essential. Experience in real estate, property management, construction, or a multi-entity environment is considered an asset.
