Job Title Estate Administrator – Dealer Operations Location North York, Ontario, Canada Seniority Level Entry level Employment Type Contract Job Function General Business, Finance, and Administrative Responsibilities Complete ad‑hoc outgoing or incoming EFT and wires to/from the client’s financial institution. Ensure EFT in/out are reflected on both RBC Express payment activity reports, as well as internal Back Office systems (PARIO/BMS) via journal entries. Process all cash and positions internal transfer movements between client accounts held within CIIS. Take ownership of ensuring the process of death settlements is completed in a timely manner. Coordinate and collaborate with internal business units to ensure exceptional service is delivered efficiently and effectively. Conduct adequate due diligence and analysis of all financial/transactional request types, ensuring proper documentation and authorization is obtained prior to processing. Manage, respond to, and process requests received through the internal “Estate” mailbox, Salesforce, and Gateway within set SLA. Participate in User Acceptance Testing when required. Handle set‑ups and modifications to existing/ongoing systematic transactions. Communicate with financial advisors and necessary third parties via phone, email, messaging services, and/or fax when required. Handle cleanup reports to ensure all client information is accurately reflected in our records. Assist with special projects during peak periods as assigned, and contribute to ongoing initiatives undertaken by the department. Ad‑hoc duties relevant to the position shall be assigned as required.
Qualifications At least 1 year of experience in the Administrative/Operations/Back‑office environment of a Financial Services company or similar capacity. Post‑secondary degree in Business or a relevant field of study, or equivalent related business experience in the financial services industry. Completion or progress on financial services designations and certifications such as PFP, CFP, IFIC, CSC, CPH or other related courses is an asset. Progress or completion of STEP Designation or Certificate in Estate and Trust Administration is preferred. Experience with CDS, ATON and/or DTC is an asset. Strong communication skills, both verbal and written. Proficient with MS Office Suite (Word, Excel, and Outlook). Self‑initiated, fast learner with a positive attitude. Organized, detail‑oriented, and hardworking character. Ability to work in a fast‑paced and challenging environment. Excellent analytical and problem‑solving skills. Understanding of investing fundamentals and/or Mutual Funds is considered an asset. Strong understanding of Registered Products (RRSP, RIF, TFSA, LIRA, LIF, RESP) and Estate/Death Settlement is preferred. Extensive knowledge of industry back‑office or Operations practices. Working Conditions Overtime may be required during peak periods. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location.
