Coordinate and book travel arrangements for employees, including flights, accommodations, and ground transportation Manage changes, cancellations, and urgent travel requests efficiently and accurately, following established processes Deliver a high level of customer service by responding to employee inquiries in a timely, professional, and helpful manner Ensure all travel bookings align with company policies; escalate exceptions as needed Support cost efficiency by applying travel credits, unused tickets, and loyalty programs Maintain detailed and accurate travel records, confirmations, and documentation Liaise with travel vendors to resolve booking issues, delays, or disruptions Support expense reconciliation by ensuring all travel documentation is completed and organized Track travel activity (volume, common issues) as needed Identify recurring booking issues and flag them to the Travel Lead Use judgment to make appropriate booking decisions within company guidelines, escalating when required Provide feedback and share observations on travel processes to support ongoing improvements Provide backup support for reception and general administrative tasks as required What you must have: Experience coordinating travel or working in a high-volume administrative or booking environment Experience managing multi-leg itineraries or travel to remote/regional locations is an asset Post-secondary education in Travel and Tourism, Administration, Business Administration, or a related field is an asset Working knowledge of airline fare rules, ticket exchanges, refunds, cancellations, and rebooking processes Familiarity with Global Distribution Systems (GDS) such as Sabre, Amadeus,
or Travelport/Galileo is preferred Strong data entry and administrative skills with a high level of accuracy and attention to detail Ability to consistently produce accurate work in a fast-paced, detail-oriented environment Ability to manage multiple priorities and respond effectively under pressure Strong organizational skills, with the ability to manage routine complexity while maintaining quality Basic problem-solving skills, with the ability to resolve standard travel issues and escalate complex ones Clear, professional communication skills with employees and external partners Proficiency in Microsoft 365 (Outlook, Excel, Word) Ability to follow established processes and ensure policy compliance High level of reliability, discretion, and professionalism when handling confidential information A proactive, service-oriented mindset with a focus on supporting employees and contributing to a positive travel experience This organization is proud to be an equal chance employer, built on the strength of individuals from all backgrounds who bring diverse experience, perspective, and skill.
