Job Description:
As the Site Project Manager, you will play a crucial role in overseeing the activities of our construction projects. Working across departments, you will ensure the successful execution of projects from planning to completion while maintaining the highest standards of quality, safety, and efficiency. Your expertise in construction, along with your commitment to sustainability, will be vital in delivering exceptional results and advancing the mission of Mitrex and Cladify.
Responsibilities:
Project Setup & Handover
Receive and review handover packages from sales and design at project kickoff
Confirm all required documentation is in place before production orders are released
Verify payment status with accounting prior to project initiation
Set up project files, schedules, and tracking in the project management system
Client Communication
Serve as the primary office contact for all client correspondence throughout the project
Handle RFIs, approval requests, product sample submissions, and formal notices (e.g. delay letters)
Close out non-conformity reports, testing reports, and mockup approvals in a timely manner
Drawings & Approvals
Manage the shop drawing approval workflow across design, engineering, and the client
Coordinate panel layout approvals between the client, production, and design teams
Liaise with engineers for stamp approvals, product data sheet sign-offs, and SLD drawing reviews
Navigate jurisdiction-specific submission requirements (e.g. NYC permitting) in coordination with external engineers, and ad hoc certifications and international supply projects documentation
Route documents to the right people at the right stage and track outstanding approvals
Change Order Management
Process and document all change orders including scope adjustments, material changes, expedition fees, and client-requested additions
Ensure change orders are formally acknowledged and reflected in project schedules and budgets
Scheduling
Maintain an up-to-date project schedule for all active projects
Align internal production and delivery milestones with the client's schedule
Flag schedule risks early and coordinate internally to resolve
Supply & Install — Office Coordination
Assign installers and manage installer contracts, including obtaining and comparing pricing
Coordinate material delivery timing with logistics and the site project manager
Prepare and organize health & safety documentation: QC inspection checklists, inspection and testing plans (ITP), and related submittals
Arrange engineer site visits and manage approval sign-offs from the office
Source suppliers for technical items when supply issues arise and manage lead times
Prepare and format all documents required for site submissions and regulatory approvals
Project Tracking & Internal Reporting
Maintain current project status across all active projects in the project management system
Provide regular updates to internal leadership on project milestones, open approvals, and risks
Log and track all change orders, client decisions, and key correspondence
Budgeting Support
Track project budgets and flag variances or cost overruns to the appropriate team
Document the cost impact of change orders and scope changes for review
Project Closeout
Confirm all deliverables are complete and coordinate final client sign-offs
Archive all project documentation in an organized and accessible format
Participate in post-project reviews and contribute to process improvement
Qualifications
Bachelor’s degree in civil engineering, Construction Management, Architectural Technology, or equivalent experience
Experience with high-rise or large ICI projects
Ability to read and interpret architectural drawings, shop drawings, and installation details
Strong knowledge of construction sequencing and site coordination
Excellent problem-solving skills
Excellent communication skills with contractors, consultants, and internal teams
Proficiency with MS Office and construction management tools
