The Opportunity

Astoria Asset Management is seeking a highly organized and detail-oriented Administrative Assistant to join our growing team. This role plays a vital part in supporting daily office operations, maintaining accurate records, coordinating communications, and ensuring administrative processes are completed efficiently and accurately.

The ideal candidate is dependable, proactive, and enjoys working in a structured environment where organization, consistency, and attention to detail are valued.

Key Responsibilities

Administrative Support

- Provide administrative support to multiple departments, including Condominium Management, Associations, Accounting, and Rentals.
- Maintain electronic and physical filing systems.
- Process incoming and outgoing correspondence.
- Prepare letters, notices, forms, reports, and other business documents.
- Coordinate and complete document storage and data entry tasks.
- Process and fulfill document orders.

Communication & Customer Service

- Serve as a professional of contact for owners, residents, board members, tenants, vendors, lawyers, and contractors.
- Respond to inquiries or direct requests to the appropriate department.
- Assist with reception coverage as required.
- Maintain a positive and professional customer service experience.

Records & Compliance

- Ensure records remain accurate, complete, and up to date.
- Assist with ownership changes, document requests,



information statements, estoppels, and other administrative processes.
- Handle confidential information with discretion and professionalism.
- Follow established company procedures and approval workflows.

Office Operations

- Assist with mailouts, courier arrangements, scanning, filing, and document management.
- Support internal projects and process improvement initiatives.
- Assist with office inventory and supply management.
- Provide backup support to other administrative team members during vacations or peak periods.

Qualifications

- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Ability to manage multiple priorities while meeting deadlines.
- Experience in property management, condominium administration is considered an asset.
