Overview
Madox Medical Clinic is a new family medicine clinic operating alongside Diagnosticrem Ultrasound Imaging in northeast Calgary. We are seeking a reliable and professional Medical Office Assistant/Clinic Assistant to support both family medicine and diagnostic imaging operations.
This is an in-person, patient-facing role combining medical reception, administrative duties and basic clinical-assistance responsibilities. The successful candidate must be comfortable working in a growing clinic, learning new systems and supporting different areas of the practice as required.
Responsibilities
- Greet patients professionally and complete patient registration and check-in.
- Answer telephone calls, respond to general inquiries and direct calls appropriately.
- Schedule, confirm, reschedule and cancel medical and ultrasound appointments.
- Receive, review and process referrals, requisitions and incoming clinical documents.
- Enter and update patient information accurately in the EMR and radiology booking system.
- Verify demographic, contact and Alberta health coverage information.
- Scan, upload, fax and securely distribute medical records and correspondence.
- Coordinate communication with physicians, radiologists, pharmacies, laboratories, referring clinics and other healthcare providers.
- Prepare patient charts and assist with daily clinic workflow.
- Room patients and collect basic information such as weight, height, temperature and blood pressure when trained and directed.
- Prepare and turn over examination rooms between patients.
- Restock clinical rooms and monitor office and medical supplies.
- Assist with referral tracking, recalls, follow-up appointments and outstanding reports.
- Support physicians, sonographers and other clinic personnel with administrative tasks.
- Maintain patient confidentiality and comply with privacy,
infection-prevention and clinic policies.
- Keep reception, waiting and clinical areas organized and presentable.
- Complete opening and closing duties as assigned.
- Perform other reasonable administrative or clinic-support duties required for clinic operations.
Skills and qualifications
- Medical Office Assistant certificate, Health Care Aide training or equivalent medical-clinic experience is preferred.
- Previous experience in a family medicine clinic, walk-in clinic, specialist office or diagnostic imaging facility is an asset.
- Experience using TELUS Collaborative Health Record—TELUS CHR—and/or a radiology information, booking or PACS system is a bonus.
- Experience managing medical referrals, requisitions, appointment scheduling and electronic records is preferred.
- Strong computer, data-entry and document-management skills.
- Clear verbal and written communication skills.
- Strong attention to detail and ability to maintain accurate patient information.
- Ability to prioritize competing duties in a busy clinical environment.
- Professional, dependable and respectful when interacting with patients and colleagues.
- Able to work independently while contributing effectively to a team.
- Comfortable learning both family medicine and diagnostic imaging workflows.
- Understanding of patient confidentiality and Alberta healthcare privacy requirements.
- Additional languages are an asset but are not required.
Availability
The clinic operates during the following hours:
- Monday to Friday: approximately 9:30 a.m. to 8:30 p.m.
- Saturday: approximately 10:00 a.m. to 6:00 p.m.
Applicants must be available for scheduled daytime, evening and Saturday shifts within these operating hours. The position is expected to provide approximately 25–35 hours per week, depending on clinic requirements.
