The Manager, Leaves and Attendance is responsible for coordinating and administering employee leave, attendance,
disability, and accommodation processes across the organization.

This role ensures the consistent and compliant execution of leave and attendance practices within a unionized
environment, including medical leaves, WSIB claims, and return-to-work coordination. The position provides guidance to
managers and employees, manages documentation and tracking, and works closely with HR Business Partners, HR
Operations, Payroll, and external providers to support timely and effective case management.

The role focuses on operational delivery, coordination, and process consistency, while supporting more complex or
sensitive cases in collaboration with HR leadership.

What You Will Do:
Leave & Attendance Administration

- Coordinates the administration of all leave types (e.g., sick leave, statutory leaves, pregnancy/parental, unpaid

leaves), ensuring processes are followed accurately and within required timelines.
- Ensures leave-related documentation is complete, accurate, and properly maintained.

- Tracks employee leave and attendance activity and follows up with managers and employees on outstanding

items.
- Supports consistent application of policies, collective agreement provisions, and legislative requirements.
- Works closely with HR Operations to ensure leave-related changes are accurately reflected in the HRIS.
- Coordinates with Payroll and HR Operations to ensure timely processing of pay and benefit adjustments related

to leaves.

- Tracks relief staff activity to ensure minimum shift requirements are met (e.g., 3 shifts within 90 days) and

proactively follows up with managers to ensure appropriate action is taken in accordance with the collective
agreement.

- Assists in tracking staffing impacts related to leaves where required.

WSIB, LTD & Disability Coordination

- Coordinates WSIB claims, including reporting workplace injuries/illnesses, submitting required documentation

(e.g., Form 7),



and maintaining case records.
- Supports employees through Long Term Disability (LTD) processes by providing forms, explaining requirements,

and liaising with providers.
- Acts as a point of contact between employees, managers, WSIB case managers, and healthcare providers to

support communication and case progression.
- Tracks claim status and follows up to support timely resolution and return-to-work planning.
- Coordinates and monitors modified work and return-to-work plans related to WSIB claims, ensuring requirements

are met and following up with managers as needed to support compliance.

Accommodation & Return-to-Work Coordination

- Coordinates return-to-work and accommodation processes in collaboration with HR Business Partners and

program leadership.
- Supports the implementation of accommodation plans, ensuring documentation and communication are clear

and complete.
- Liaises with internal and external stakeholders to support disability-related leaves and accommodations.
- Ensures processes align with legislative requirements and organizational policies.

Employee & Manager Support

- Serves as the primary point of contact for employees and managers on leave and attendance inquiries.
- Provides guidance on processes, documentation requirements, and timelines.
- Supports employees through leave lifecycle events, ensuring a consistent and supportive experience.
- Drafts, prepares, and issues leave-related correspondence, including leave approvals, extensions, and return-to-

work confirmations, ensuring accuracy and alignment with policy, collective agreements, and legislation.

Systems, Reporting & Compliance

- Maintains leave and attendance tracking tools and ensures information is current and accurate.
- Prepares regular and ad hoc reports on attendance, absenteeism, and leave activity.
- Maintains and updates standardized templates, including leave-related correspondence and tracking tools.
- Works with HR Operations to support improvements to workflows and system use related to leave processes.
- Ensure leave and attendance processes comply with applicable legislation, including the Employment Standards

Act, Workplace Safety and Insurance Act, Human Rights Code, and Occupational Health and Safety Act, as well as
organizational policies.

- Maintains confidentiality of employee information in accordance with PHIPA and organizational policies.

What You Bring to the Team:

- Post-secondary education in Human Resources or a related field, or an equivalent combination of education and

experience
- 4 years of Human Resources experience, with a focus on leave administration, attendance tracking, or disability

coordination

- Experience working in a unionized environment, with familiarity in interpreting collective agreements
- Strong understanding of applicable legislation, including Employment Standards, Human Rights, Occupational

Health & Safety, and labour relations frameworks

- Experience supporting accommodation and return-to-work processes
- Proficiency with HRIS systems (ADP Workforce Now preferred)



and strong Excel skills
- Strong problem-solving and decision-making skills, with the ability to handle complex or sensitive issues
- Strong organizational skills with the ability to manage competing priorities and ensure deadlines are met across

multiple processes

- Excellent communication and interpersonal skills, with the ability to support sensitive employee situations
- High level of discretion and ability to handle confidential and sensitive information
- Experience in the social services sector and an understanding of the communities served is an asset

Working Environment:
The role involves regular interaction with a wide range of people and requires the ability to manage multiple priorities and
competing demands in a fast-paced environment. The position is based in a shared administrative office and involves
extended periods of computer work. The employee may be required to attend meetings at other Fred Victor sites. The
role follows regularly scheduled hours but may occasionally require work outside of regular hours to address urgent or
time-sensitive matters.

Compensation and Advantages:

- For the Manager, Leaves and Attendance, Fred Victor offers a salary range of $74,217.00 to $92,781.00 annually.
- 4 weeks of vacation to start + 1 float day
