About Vera Dental Group
Vera Dental Group is a rapidly growing dental organization operating three locations across the Greater Toronto Area (GTA). We are committed to delivering exceptional patient care while continuously improving the systems and processes that support our clinics. As we continue to grow, we're looking for a highly organized, tech-savvy, and detail-oriented Executive Administrator to provide administrative and operational support to our CEO and leadership team.
Role Overview
This role is ideal for someone who enjoys keeping things organized, solving problems, and ensuring nothing falls through the cracks. While you'll work closely with the CEO, this position is focused less on traditional executive support and more on providing strong administrative coordination across a variety of business functions.
You'll be responsible for managing priorities, coordinating projects, preparing reports, improving workflows, and helping keep day-to-day operations running efficiently. The ideal candidate is proactive, analytical, highly organized, and comfortable learning new technology and systems.
Key Responsibilities:
Executive & Administrative Support
- Manage calendars, meetings, appointments, and scheduling for the CEO and leadership team.
- Organize and prioritize incoming emails and correspondence.
- Prepare, edit, proofread, and format documents, presentations, reports, and meeting materials.
- Track action items and ensure follow-up on outstanding tasks.
Project & Operations Coordination
- Coordinate and support internal projects, initiatives, and operational improvements.
- Assist with planning and executing company-wide meetings, training sessions, and events.
- Maintain project trackers and ensure deadlines are met.
- Identify opportunities to improve administrative processes and workflows.
Reporting & Data Management
- Prepare weekly, monthly, and quarterly reports and scorecards.
- Collect, organize, and analyze operational data from multiple clinics.
- Maintain spreadsheets, dashboards, and internal documentation with a high degree of accuracy.
- Support leadership by providing organized and actionable information for decision-making.
Administrative & Financial Support
- Process invoices, organize receipts, and assist with basic bookkeeping and administrative finance tasks.
- Coordinate vendor communications and maintain organized records.
- Support document management and filing systems across the organization.
Communication & Coordination
- Coordinate communication between departments and leadership.
- Draft professional emails and internal communications.
- Assist with onboarding logistics, meeting coordination, and other cross-functional administrative tasks.
General Administrative Support
- Assist with occasional personal or business-related administrative tasks for the CEO as required.
- Handle ad hoc projects and administrative responsibilities as business needs evolve.
What We're Looking ForRequired Qualifications
- 2+ years of experience in an administrative, executive support, office administration, or operations coordination role.
- Exceptional organizational skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Comfortable working with technology and learning new software quickly.
- Strong analytical and problem-solving abilities.
- Advanced proficiency with Microsoft Office and Google Workspace (especially Excel/Sheets).
- Ability to work independently while managing confidential information with professionalism.
Nice to Have
- Experience supporting senior leadership or executives.
- Experience with QuickBooks or basic bookkeeping.
- Experience creating reports, dashboards, or operational scorecards.
- Experience working in healthcare, dental, or another fast-paced service workplace.
- Valid driver's license and access to a reliable vehicle for occasional errands or travel between office locations.

Job Types: Full-time, Permanent
Pay: $45,000.00-$55,000.00 per year
Ability to commute/relocate:
- North York, ON M3C 3N7: reliably commute or plan to relocate before starting work (preferred)
