PROJECT ASSISTANT
At First General Edmonton, we provide emergency mitigation services for damage caused by water, sewer back-ups, fire, smoke damage, wind damage, vehicle impacts, catastrophic storm response, bio/trauma clean-up, asbestos remediation, and full construction services.
We are in search for a Project Assistant to join our dynamic team. The Project Assistant on the Project Management team plays a crucial role in supporting our project management team in various administrative, logistical tasks and project coordination activities managing restoration projects with varying scopes. The Project Assistant works closely with the field and office team to ensure that projects are executed flawlessly, delivered on time, within established timelines and budgets. This position reports to the Project Manager.
This Project Assistant must be highly organized, motivated and have a passion for working on a team. Excellent people skills, ability to multi-task, attention to detail and ability to learn new technology are some of the qualities the successful candidate must possess.
Responsibilities include but are not limited to:
Administrative Support
- Assist in preparing project documentation, including contracts, reports, and proposals.
- Manage project files and ensure all documentation is properly archived and accessible.
- Coordinate schedules and meetings for the project team.
Communication
- Act as a point of contact for internal and external stakeholders.
- Draft and distribute emails, letters, and other correspondence.
- Maintain clear and consistent communication with clients and subcontractors.
- Distribute meeting minutes and action items.
- Dispatching internal and external resources.
Logistics
- Assist in the ordering and inventory of project materials and supplies.
- Coordinate delivery schedules and ensure timely arrival of necessary materials.
- Help organize and track equipment and tools required for restoration projects.
Data Management
- Update and maintain project management software and databases.
- Track project progress and report on key milestones and deliverables.
- Assist in the preparation of project status reports for internal and client review.
Financial Assistance
- Help with the preparation of budgets and financial reports.
- Track and process invoices, ensuring invoice accuracy and assist with timely AR collections.
- Monitor project expenses and report any discrepancies.
Requirements:
- High school diploma or equivalent; associate's degree or some college coursework preferred.
- Relevant formal education (ex. CET) and practical experience in a construction or restoration field.
- Previous construction or restoration estimating experience. Xactimate experience an asset.
- 1-2 years of experience in an administrative or support role, preferably in the construction or restoration industry.
- Previous experience in a project assistant or administrative role is preferred.
- Proficient working knowledge of Microsoft 365 including MS Office and SharePoint
Skills:
- Self-motivated and able to work well independently and collaboratively in a team environment
- Excellent client-facing and customer service skills
- Excellent written and verbal communication skills, with the ability to effectively interact with stakeholders at all levels
- Solid organizational and time management skills including attention to detail and multitasking
- Strong critical thinking and problem-solving skills
- Proficiency in Microsoft Office Suite and project management software.
Work Conditions:
- Ability to lift and move materials up to 25 lbs.
- Occasional travel to project sites may be required.
Work Type: Full Time, In Office
Schedule: Monday to Friday from 8:00 am to 4:30 pm
Travel: Primarily in Edmonton and area only
Salary: Starting $50,000, based on experience and qualifications
Vacation: 2 weeks
