Job Summary

We are seeking a dedicated, detail-oriented, and compassionate Medical Office Assistant (MOA) to join our dynamic healthcare team. The ideal candidate will have 1–2 years of experience in a clinical or medical office setting and will play a vital role in ensuring a positive patient experience and smooth daily operations of the clinic. This position involves a combination of administrative, clerical, and limited clinical duties in a fast-paced, team-oriented environment.

Key Responsibilities

- Greet and check in patients in a professional and welcoming manner.
- Schedule, confirm, and manage appointments using EMR systems (Med Access preferred).
- Answer phone calls, emails, and patient inquiries promptly and courteously.
- Register new patients and update demographic and insurance information.
- Prepare, organize, and maintain accurate patient charts and electronic medical records.
- Handle billing, invoicing, and insurance claim submissions.
- Assist physicians and nursing staff with patient flow and coordination.
- Record patient vitals, prepare examination rooms, and ensure cleanliness and readiness for procedures.
- Sterilize and restock medical instruments and supplies as required.
- Maintain strict confidentiality in accordance with PHIPA and PIPEDA regulations.
- Manage incoming/outgoing mail, faxes, and other correspondence.
- Monitor and order office and clinical supplies to ensure availability.




- Support patient recalls, referrals, and follow-up appointments.
- Contribute to the continuous improvement of clinic operations and patient satisfaction.

Qualifications

- Education: Completion of a recognized Medical Office Assistant (MOA) program or equivalent training.
- Experience: Minimum 1–2 years of experience in a medical office, walk-in clinic, or healthcare setting.
- Technical Skills:
- Proficiency in Med Access EMR software is required.
- Competency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge:
- Understanding of medical terminology and clinical workflows.
- Familiarity with healthcare regulations, privacy laws, and patient confidentiality requirements.
- Personal Attributes:
- Excellent communication, interpersonal, and organizational skills.
- Strong attention to detail and ability to multitask effectively.
- Professional, empathetic, and patient-centered attitude.
- Ability to work independently and as part of a collaborative healthcare team.

Work Schedule

- Monday to Friday
- Every weekend (as scheduled)

Work Environment

- Fast-paced clinical setting with direct interaction with patients, physicians, and staff.
- In-person role — candidates must be able to reliably commute.

Job Types: Full-time, Part time, Permanent

Pay: $18.00-$22.00 per hour

Work Location: In person
