Safety & Compliance Coordinator – Licensing & Permitting

As we continue to grow our fleet, we are seeking a detail-oriented, proactive, and organized Safety & Compliance Coordinator to join our team and ensure our fleet remains compliant, safe, and fully authorized on the road.

Primary Objective:

To assist in the smooth operation of the Safety Department as it pertains to permits, licensing and various other areas relating to safety. Conducts all tasks in accordance with established health and safety policies and procedures.

Key Responsibilities:

- Permit Management: Secure, track, and renew all necessary operating authority permits for cross-border operations (including US and Canadian authorities).
- Fleet Licensing & Registrations: Manage annual IRP renewals, plate replacements, and registration updates for Company Tractors, Trailers, and Owner-Operators. Keep fleet data synchronized across internal software platforms (TransPlus, Fleet, and Isaac).
- Certificates of Insurance (COI): Coordinate directly with the insurance broker to process requests and issue Certificates of Insurance for clients and Owner-Operators.
- Permit Books: Create and maintain up-to-date physical or digital permit books for all newly active and existing trucks in the fleet.
- Yard Access & ID Badges: Oversee the driver identification program,



managing photo IDs and facility gate card access for both Company Drivers and Owner-Operators.
- Fuel Card Administration: Manage corporate fuel card accounts (EFS/Fleet cards), including card issuance, account overrides, monitoring cash advances, and documenting fuel metrics.
- Transponder & Toll Management: Supervise and audit accounts for border crossing transponders (Express/Customs transponders) and bridge toll cards.
- Safety Equipment Distribution: Coordinate the inventory and distribution of mandatory Personal Protective Equipment (PPE) during driver orientation and as needed.
- Driver Qualification Files: Ensure all driver documentation is accurate and regulatory-compliant within the digital compliance system (Truck Right).
- Driver On-Boarding & Orientation:
- For Owner-Operators: Audit IRP/plates, verify WSIB/Worker’s Comp clearance status, and assist with corporate contract reviews and signatures.
- For All Drivers: Facilitate background screening (criminal searches and skilled reference checks), issue driver profiles in TransPlus and Isaac, schedule pre-employment Drug & Alcohol and fitness testing (via Driver Check), and conduct FMCSA Clearinghouse queries.
- Safety Support & Culture: Assist the Safety Manager in delivering compliance updates, educating team members on policy adjustments, and assisting with driver safety meetings.
- Collaborative Support: Partner with other safety and driver training coordinators to handle peak compliance workloads and operational projects.

Requirements:

- Post-Secondary education an asset
- Strong Organizational skills
- Excellent computer skills

Pay: $44,872.03-$101,521.93 per year
