Title: Clerk / Secretary 2 (ADM06)
Location: Bedford, Nova Scotia
Contract: 3 Months (Contract)
Shift: Day Shift (Monday–Friday)
Pay Range: CAD $17–18/hr.

Position Summary:

Under general supervision, the Clerk/Secretary 2 is responsible for providing front-line customer service and administrative support to departmental programs and services. The successful candidate will respond to inquiries, maintain records, coordinate administrative processes, prepare correspondence, and support the daily operations of the office while ensuring accuracy, confidentiality, and exceptional client service.

Responsibilities:

Responsibilities may include some or all of the following:

- Provide professional front-line customer service by responding to inquiries via phone, email, and in person.
- Receive, process, and distribute applications, permits, forms, and other departmental documents.
- Prepare, proofread, and distribute correspondence, reports, and other administrative documents.
- Maintain accurate records, files, and electronic information systems.
- Schedule appointments, meetings, and coordinate calendars as required.
- Assist with travel arrangements, expense reports, and other administrative functions.
- Support departmental programs by coordinating administrative processes and ensuring timely completion of assigned tasks.
- Process incoming and outgoing mail and maintain organized filing systems.
- Enter, update, and retrieve information using Microsoft Office applications and electronic databases.
- Maintain confidentiality while handling sensitive information and documentation.
- Identify issues requiring escalation and communicate effectively with supervisors and team members.




- Provide administrative support for office operations, including answering phones and directing inquiries appropriately.
- Assist with permit processing, customer requests, and general office administration.
- Collaborate with internal staff to ensure efficient workflow and high-quality client service.
- Perform other related administrative duties as assigned.

Education:

- High School Diploma (Grade 12) or GED required.
- Post-secondary education in Office Administration, Business Administration, or a related field is considered an asset.

Job Requirements:

- Minimum of two (2) years of administrative support or front-line customer service experience, or an equivalent combination of education and experience.
- Experience providing professional customer service in a fast-paced office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams).
- Experience working with electronic information or case management systems; experience with LaMPSS, Microsoft Lists, or similar systems is considered an asset.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy in data entry and record maintenance.
- Ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.
- Demonstrated ability to work collaboratively in a team-oriented environment.
- Robust interpersonal skills with a professional and client-focused approach.
- Ability to adapt to changing priorities and support multiple administrative functions.

Pay: $17.00-$18.00 per hour

Work Location: In person
