Summary

As a Shop Service Administrator, you will play a vital role in supporting our Shop operations by managing customer inquiries and ensuring efficient service delivery. This position is essential to maintaining our commitment to exceptional customer service and operational excellence.

Responsibilities

- Manage customer inquiries via phone and email, providing timely and accurate information.
- Coordinate Shop service appointments and maintain schedules for technicians.
- Opening and closing of work orders on a client-by-client basis.
- Work with a positive and professional attitude and communicate effectively and efficiently with customers and others within the team.
- Assist with parts & service quotations for service technicians in the field, when needed.
- Respond to customer inquiries on statuses of invoicing.
- Maintain their “work in progress” and escalate to their Supervisor/Manager on work orders that require additional attention.
- Ensure accurate and real-time statuses on all work performed.
- Follow-up on jobs internally; coordinating with Parts Department to ensure efficient turnaround times.
- Ensure all customer interactions are handled with professionalism and courtesy.
- Support the team in maintaining organized office operations.
- A/R duties such as collection calls and emails, posting payments and accurately entering and managing invoices in customer portals.
- Perform additional duties as required.

Requirements

- Proven experience in an administrative or customer service role.
- Experience creating work orders and processing customer billing.
- Strong organizational skills with attention to detail.
- Robust computer skills, utilizing Microsoft Suite, particularly Excel.
- Excellent phone etiquette and transparent communication skills,



both verbal and written.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Must be able to work from 7:30 am - 4:00, Monday-Friday.

Expected Salary Range: between $55,000-$63,000k, dependent on experience.

The above salary range is the anticipated starting salary range for the position. The Company may adjust this range in light of prevailing market conditions and proven experience. The Company will work directly with the selected candidate(s) on the final starting salary in accordance with all applicable laws.

This role includes competitive compensation and eligible benefits (medical, dental, vision) after completing your probationary period of (3) months of active employment.
