As the Intake Coordinator you will be to be the first point of contact for all Access to Information (ATI) requests and inquiries. The Access & Privacy Section is a high volume fast paced environment that must adhere to legislated timeframes. Primary duties include:
- Receive, confirm, and clarify ATI requests to ensure that they have been received by the correct Public Body and that they can be actioned by the Calgary Police Service (CPS).
- Conduct initial searches in police databases and Justice Online Information Network (JOIN) to assist the Disclosure Analysts as well as determine the access rights of the applicant and note results to the ATI file.
- Respond to inquiries from the public via telephone, email or in-person.
- Process payments over the telephone via credit card and cheques via regular mail.
- Track trends in requests from the public, media, other public bodies and law firms and alert the Manager or Director, Access & Privacy.
- Perform general administrative duties including maintaining the virtual filing system,
the creation and maintenance of all the office templates using Microsoft Word, Excel and Outlook.
- Update and prepare records for disclosure, including picking up and dropping off items at various areas of the Service, preparing records for destruction as per the Records Management records retentions schedule.
- Provide legal administration such as updating acts, legal manuals, transcribing documents, assembling briefs, swearing affidavits, assembling other quasi-judicial reports or correspondence needed to respond to court orders, fatality inquiries, Office of the Information and Privacy Commissioner (OIPC) inquiries and OIPC judicial reviews.
Qualifications
- A 2-year diploma (e.g. Business Administration or Legal Assistant Diploma) and a minimum of 3 years' of directly related experience.
- Must be able to obtain Commissioner for Oaths or Notary Public appointment.
- Intermediate proficiency with Microsoft Word, Excel and Outlook is required.
- Information Access & Protection of Privacy (IAPP) Certification is an asset.

Pre-employment Requirements
- An enhanced security clearance will be conducted.
- Successful applicants must provide proof of qualifications. Education obtained from out of country must have or be able to obtain, an Education Credential Assessment (ECA) for confirmation of equivalent credentials.

Compensation: Pay Grade 8 $39.00 - 52.14 per hour
Hours of work: Standard 35 hour work week.
Days of work: This position works a 5 day work week with 1 day off in a 3 week cycle.
