Executive Assistant - Chief Administrative Officer & Mayor

Salary: $2,642.74 -$3,676.80 bi-weekly | $68,946.45 - $95,923.91 annually.

BSA: $279.98 - $286.86 biweekly benefit spending allowance.

Total Compensation: $76,250.78 - $103,407.75 annually.

Are you an organized, proactive professional with a passion for efficiency and exceptional service? We are looking to bring a talented Executive Assistant (EA) to the Office of the Chief Administrative Officer & Mayor. The City of Fredericton is Recent Brunswick's Capital City.

The EA will oversee and streamline the daily operations of the office of the Mayor and Chief Administrative Officer, ensuring a smooth, well-coordinated environment. In this key role, you will report to the Chief Administrative Officer, and be responsible for managing office procedures, supporting staff, and ensuring effective communication across departments. Qualifications:

Essential:

- A minimum of five (5) years in an administrative position.
- Thorough knowledge of City operations and departmental functions.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong political acumen.

Equivalent combinations of education, training, and experience may be considered where they provide the knowledge, skills, and abilities required to perform the essential duties of the position.

The following qualifications are not required but may strengthen an application:

- Certificate courses in public administration, and/or municipal government or related field.
- Ability to represent the Office of the Mayor and CAO professionally and work independently with exceptional communication skills.
- Organized, self driven, detail oriented, and able to contribute to team success.
- Skilled in meeting and conference planning logistics.
- Able to identify issues and develop strategies for resolution.

What You'll Do:

- Proactively monitor, manage, and prioritize the Mayor's inbox.
- Manage complex calendars for the CAO and Mayor.
- Draft correspondences and preparing remarks/ briefing notes for the Mayor, CAO, and Deputy CAO. Exercise superior judgement in composing correspondence.

- Interact daily with the public, Mayor, CAO, members of City Council, media, senior management and City staff.
- Research, draft correspondence, prepare reports and handle highly confidential and sensitive information.
- Support the Legislation and CAO budgets, cash flow projections and budget transfer requests.
- Manage the CAO and Mayor’s office operations to ensure smooth functioning and staffing during absences.
- Provide administrative support for the divisions under the CAO’s office, including Organizational Development and Strategy, Corporate Communications and First Nations Relations.

- Coordinate and analyze information from senior staff and government agencies to appropriately respond to inquiries from members of Government at all levels, and internal Departments.
- Chair and take minutes of the weekly Mayor/CAO meetings.
- Maintain effective working relationships with the public, City Council, government officials, business leaders, media,

senior management, and staff.

- Assist with special projects,



and additional meetings as needed.
- Exercise initiative and judgement in public interactions.
- Occasional nights and weekends may be required.
