The Opportunity:
ML6 is partnering with a fast-growing, multi-location dental organization to find an Executive Assistant who will serve as a trusted extension of a senior executive. This person will help bring structure, focus and momentum to a wide range of priorities while ensuring the day-to-day details are handled with care and precision.
This is more than a traditional administrative role. You will sit close to the business, anticipate what is needed, connect the right people and keep important commitments moving forward. The environment is entrepreneurial and evolving, so success will require someone who is comfortable with ambiguity, able to shift priorities quickly and confident working across teams without relying on formal authority.
A background in a legal or paralegal setting would be highly valuable, particularly for someone who has developed strong document discipline, confidentiality and deadline management and now wants broader exposure to business operations and executive decision-making.
What You’ll Be Doing:
- Executive partnership. Act as a trusted right hand to the executive, understanding priorities, anticipating needs and ensuring time and attention remain focused on the highest-value matters.
- Calendar and priority management. Own a complex and changing calendar, resolve conflicts, protect focus time and make informed decisions about urgency and sequencing.
- Meeting effectiveness. Coordinate agendas and materials, prepare the executive in advance, capture decisions and ensure actions are assigned and followed through to completion.
- Communication. Draft, review and edit correspondence, presentations, reports and other executive materials with a high degree of professionalism and accuracy.
- Project coordination. Keep cross-functional priorities moving by gathering updates, tracking deadlines, identifying bottlenecks and following up with stakeholders.
- Document and contract administration. Organize confidential records, agreements and corporate documents; coordinate reviews, signatures,
key dates and communication with external advisors when required.
- Stakeholder liaison. Serve as a thoughtful and responsive point of contact for internal leaders, external partners and professional advisors, using discretion to determine what requires escalation.
- Travel and logistics. Arrange travel, itineraries and meeting logistics and make sure the executive has the information needed to move efficiently between commitments.
- Systems and process improvement. Create practical tools, routines and ways of working that improve organization, visibility and accountability across the executive office.
- Proactive problem-solving. Handle issues before they become distractions, adapt quickly as plans change and take ownership of outcomes rather than waiting to be directed.
What You Bring:
- Relevant experience. Several years of progressive experience as an Executive Assistant, paralegal, legal assistant, senior administrative professional or in a similarly trusted coordination role.
- Executive judgment. Demonstrated ability to support a senior leader, exercise discretion and make sensible decisions with incomplete information.
- Exceptional organization. The ability to manage multiple priorities, deadlines and stakeholders without losing sight of important details.
- Strong communication. Excellent written and verbal communication skills, including the ability to produce polished, concise and accurate materials.
- Follow-through. A proactive working style and a reputation for closing loops, keeping commitments visible and getting things done through others.
- Composure and adaptability. Comfort operating in a fast-paced, entrepreneurial environment where priorities can shift and not every process is already defined.
- Technical confidence. Robust proficiency with Microsoft 365 or Google Workspace and the ability to learn new collaboration, document-management and project-tracking tools quickly.
- Legal foundation—an asset. Paralegal, legal-administration or corporate-records experience is strongly valued, though not required for an experienced Executive Assistant with comparable capabilities.
Compensation: Base Salary of $110,000 to $120,000
