The salary range for this position is CAD $34.32 - $34.32 / hour
Detailed Overview
Within the context of a complex health care system, this position is responsible for performing staffing duties at locations within Fraser Health (FH), including preparing and adjusting staff rotations and allocating and calling in relief nursing and non-nursing staff using an electronic system to fill vacancies, leaves of absence and sick leaves in accordance with the applicable collective agreement, receiving and processing vacation and other staff requests from staff, and responding to written and verbal enquiries from staff regarding vacation accumulations and related requests. In addition, provides work direction, guidance and training to designated staffing clerks and acts as a resource for the Leader, Staffing Services, on issues related to staffing and scheduling.
Responsibilities
- Coordinates the workflow of assigned area by supervising staff, and performing duties such as assigning tasks, establishing priorities, scheduling and assigning work assignments and ensuring completion, providing input regarding performance evaluations, and determining related training and orientation requirements. Follows up with the Leader as required.
- Makes arrangements for relief staff and by performing duties such as receiving notification from staff and units, recording calls, making any necessary calculations, such as patient-staff ratios, determining availability of existing staff according to established procedures, contacting relief staff and forwarding information to the Leader, Staffing Services.
Answers inquiries related to staffing issues and refers complex problems to Leader as required.
- Provides information to the Leader, Staffing Services by responding to inquiries related to staffing services, policies, master rotations and collective agreement requirements.
- Prepares staff schedules for units by reviewing master rotation and flow sheets transferring information into an electronic scheduling system, adjusting schedules to fill gaps, identifying staff shortages, and checking that staff with relevant skills are scheduled and/or available.
- Allocates and calls in staff to fill short term vacancies resulting from unfilled positions, vacations, leaves of absence and sick leaves in accordance with applicable collective agreements, utilizing a computerized staff scheduling system, to ensure adequate staff coverage. Notifies the Leader, Staffing Services of vacancies not filled and/or any difficulties, and posts designated hours according to departmental procedures.
- Maintains and submits timekeeping records to Payroll Services; responds to inquiries regarding vacation accumulation, seniority and pay policies; Liaises with relevant departments including Payroll regarding staffing records, confirmation of shifts booked, and availability for booking, payroll adjustments and inquiries related to ICBC, WCB, and EI.
- Receives and processes requests for leave of absence, makes necessary calculations, completes documentation according to established timeframes and departmental procedures and forwards to Leader, Staffing Services for approval; sends information to Payroll Services as applicable.
- Assists Leaders with the line and rotation assignment and plotting of orientation shifts for current employees and in tracking and backfilling vacant positions until filled. Assists leaders in preparing master rotations.
- Maintains related records and documentation such as attendance records, leave requests, and relief staff availability.
- Types a variety of technical and non-technical material such as correspondence, memos, minutes, agendas, notices, reports, flow charts and spreadsheets.
- Provides staffing related information to departments by performing duties such as compiling statistics from a computerized staff scheduling system, submitting to Leader for review, and forwarding to appropriate department as requested.
- Performs other related duties as assigned.
Qualifications
Education, Training and Experience
Grade 12, a minimum of five (5) years' recent, related experience and one (1) year supervisory experience, or an equivalent combination of education, training and experience.Skills and Abilities
