Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily administrative operations of our growing construction company in Halifax, Nova Scotia. The successful candidate will provide comprehensive administrative support to management while assisting with scheduling, document preparation, office coordination, and communication between office staff, field personnel, and subcontractors. This position requires excellent organizational, communication, and multitasking skills in a fast-paced environment.
Key Responsibilities
Arrange travel plans, including itineraries and reservations, when required.
Schedule, prepare, and confirm appointments, meetings, and calendars for management.
Plan, coordinate, and manage administrative procedures and office systems to support effective day-to-day operations.
Prepare, edit, proofread, and distribute reports, correspondence, forms, and other administrative documents.
Maintain organized filing systems, records, and confidential documentation in both electronic and paper formats.
Handle office requirements by requisitioning office materials and supplies and maintaining adequate inventory levels.
Manage incoming and outgoing communication, including mail, email, and telephone inquiries.
Coordinate appointments, schedules, and weekly work activities for construction personnel.
Assist with tracking project progress and facilitating communication between management, employees, subcontractors, and suppliers.
Review job responsibilities, company policies,
and workplace health and safety procedures with newly hired employees.
Recommend improvements to administrative procedures to enhance office efficiency and productivity.
Assist with bookkeeping duties, including organizing receipts, recording expenses, maintaining basic financial records, and supporting accounting functions as required.
Provide general administrative support to management and assist with additional office duties as assigned.
Qualifications
Completion of secondary school is required.
Completion of a one- or two-year college program in business administration, office administration, or a related field is considered an asset.
Previous administrative or office experience is preferred.
Strong organizational and time management skills with the ability to prioritize multiple tasks.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office (Word, Excel, Outlook) and general office software.
Experience maintaining confidential information with professionalism and discretion.
Ability to work independently as well as collaboratively within a team environment.
Experience in the construction industry is considered an asset but is not required.
Preferred Qualifications
Experience with bookkeeping or accounting software is considered an asset.
Familiarity with construction administration, scheduling, or project coordination is an asset.
Knowledge of office management procedures and administrative best practices.
Working Conditions
Primarily office-based with occasional interaction with construction site personnel.
Fast-paced environment requiring effective multitasking and attention to detail.

Occasional overtime may be required to meet operational needs.
