We are currently seeking a Member Services Coordinator to join our team and support our Modspace coworking portfolio across the Halifax Regional Municipality (with occasional support at additional properties across Nova Scotia).
Reporting to the General Manager (GM), the Member Services Coordinator (MSC) is responsible for delivering an exceptional member and guest experience while supporting the daily operations of the coworking space. As one of the primary faces of the community, the MSC plays a critical role in fostering a welcoming and professional environment, building strong relationships with members, and ensuring the smooth operation and presentation of the space. The MSC serves as a key resource for members and visitors,
providing information, assistance, and support while maintaining high standards of customer service, communication, and hospitality. Through proactive engagement and attention to detail, the MSC contributes to a positive, productive, and connected community experience.
As Modspace Member Services Coordinator, you will get to:
- Effectively cover Receptionist desk at our Modspace facility
- Answer phone with a strong focus on customer service and ensures appropriate distribution of calls
- Ensure office space is clean and tidy including kitchen facilities and common space areas
- Ensure kitchen is stocked with appropriate goods including coffee, water etc.
- Scan, photocopy, file and fax.
- Type and format letters and reports
- Ensure office supplies are stocked, order new items as needed
- Coordinate cellphone and business card setup for new employees
- Conduct data entry and complete administrative duties
- Ensure the confidentiality of files and posses the highest level of personal integrity
- Recommend improvement in workflow and procedures within administration
- Help maintain administrative support systems and procedures for the office
- Prepare correspondence and documents, ensuring compliance
- Review and professionally respond to email inquiries
- Order stationary as approved,
and unpack and distribute as they are received
- Electronically file invoices in an organized manner
- Coordinate and arrange for courier deliveries as needed
- Receive, sort and distribute incoming mail
- Distribute, track and file purchase orders (PO’s)
- Assist in managing Outlook calendars as needed
- Assist with other administration duties as required
