Position Overview
Martz Wealth Management is seeking a highly organized, client-focused, and detail-oriented Wealth Advisor Unlicensed Assistant to provide administrative, operational, and client service support to the Investment Funds and Life Insurance Advisor. Reporting directly to the Investment Funds and Life Insurance Advisor, this full-time position plays a critical role in delivering an exceptional client experience while ensuring the smooth, compliant, and efficient operation of the practice. This position is intended to reduce the administrative burden of the Investment Funds and Life Insurance Advisor.
Primary responsibilities include supporting day-to-day business operations, managing client service workflows, maintaining accurate client records and data integrity, coordinating documentation and follow-up activities, maintaining regulatory compliance, and developing efficient systems that support continued business growth. The successful candidate will operate in accordance with the firm's Workflow & Responsibility Matrix and applicable CIRO, dealer, insurer, and privacy requirements.

- Works closely with: Clients, Dealer and Insurance Compliance teams, Carriers, and Business Partners

Key Responsibilities Client Service & Administrative Support
- Coordinate all client meetings with the Investment Funds and Life Insurance Advisor, including scheduling, calendar management, confirmations, reminders, and meeting logistics.
- Prepare meeting materials, portfolio reports, statements, planning documents, and presentation packages.
- Manage client onboarding and account maintenance processes, including documentation, signatures, and internal workflows.
- Process client service requests including transfers, deposits, withdrawals,
payment instructions, service requests, and trades where permitted.
- Maintain accurate records within CRM systems, leverage AI platforms to improve workflow efficiency, and maintain client files.
- Track follow-up activities and monitor benchmark dates, review schedules, renewals, and key deadlines.
- Respond promptly to client inquiries and coordinate ongoing client communications.
- Coordinate annual tax package distribution and related client communications.
Client Experience
- Serve as the first point of contact for clients by creating a warm, welcoming, and professional office environment.
- Greet clients, offer refreshments, ensure their comfort, and coordinate a seamless transition into meetings with the Investment Funds and Life Insurance Advisor and other team members.
- Deliver a consistently exceptional client experience that reflects the firm's values of professionalism, trust, personalized service, and attention to detail.
Marketing & Digital Communications
- Support the firm's qualified presence across approved digital platforms.
- Coordinate educational and informational content while obtaining required Compliance approvals.
- Maintain required records of digital communications and coordinate compliance review of third-party content.
Qualifications & Skills
- Minimum two years of administrative experience, in a financial services environment.
- Exceptional organizational, communication, and interpersonal skills.
- High attention to detail and ability to manage multiple priorities.
- Client-first mindset with a commitment to exceptional service.
- Ability to work independently while collaborating effectively within a professional advisory team.
- Proficiency with Microsoft Office, CRM systems, and leveraging AI platforms and other business technologies.
- Ability to quickly learn current software and technology platforms.
- Must execute and comply with the firm's Confidentiality and Non-Disclosure Agreement (NDA).

Compensation & Benefits
Salary: $55,000–$63,000 annually, commensurate with experience and qualifications.
