About Us
Access Group is a growing commercial signage fabrication and installation company headquartered in Boucherville, QC, and scaling quick across Canada and the US. We've been designing and manufacturing signs since 1987, and we run our business on EOS (Entrepreneurial Operating System) — clear priorities, weekly rhythms, and no wasted motion. We're looking for an Executive Assistant who wants to operate at that same level.
About the Role
You'll be the right hand to our CEO, managing his calendar, inbox, travel, and the flow of information between him and the leadership team. This isn't a scheduling-only role — you'll be trusted with confidential financial and strategic information, expected to make judgment calls on what needs his attention versus what you can resolve yourself, and given real ownership over how his week runs.
This role follows a structured playbook from day one, so you'll never be guessing what "good" looks like — but you'll also have room to bring your own systems and judgment as you grow into it.
What You'll Do
- Manage and protect the CEO's calendar across two email/collaboration accounts, keeping it accurate, conflict-free, and built with enough context that he's never caught off guard
- Process his inbox daily, responding directly where appropriate and flagging only what truly needs his attention
- Coordinate and prep materials for recurring leadership meetings (weekly leadership meeting, weekly sales meeting) and 1:1s
- Book and manage all travel — flights, hotels, ground transport — with the lead time to get the best pricing and zero day-of surprises
- Track high-level project and initiative status well enough to brief the President before he needs to ask
- Support financial monitoring — flagging approvals, tracking expenses, and liaising with the Finance Director on anything in his queue
- Handle purchasing, gifting, and vendor/event correspondence on the President's behalf using approved templates and judgment
- Manage confidential information — compensation, growth planning, HR matters — with strict discretion
- Act as a liaison between the President and department leads without becoming a bottleneck
- Coordinate personal and family scheduling (kids' activities, travel, personal commitments) alongside business commitments
What We're Looking For
- 3+ years of experience as an Executive Assistant, senior Administrative Assistant, or similar role supporting a senior executive or business owner
- Fluent in English and French (spoken and written) — this role interfaces with both anglophone and francophone stakeholders daily
- Highly organized with excellent judgment — you know the difference between "handle it yourself" and "this needs him"
- Comfortable with Microsoft 365 (Outlook, Teams, SharePoint) and project management tools (e.g., Monday.com); QuickBooks Online exposure a plus
- Discreet and trustworthy with sensitive financial and strategic information
- Calm and clear under a fast pace — priorities shift, and you adjust without losing the thread
- A proactive communicator who closes the loop without being chased
Pay: $45,000.00-$65,000.00 per year
