We are seeking an organized, detail-oriented Office Administrator / Bookkeeper to join our team. This position is ideal for someone who enjoys working in a fast-paced environment and has experience in bookkeeping, office administration, and construction accounting.

Key Responsibilities

Accounting & Bookkeeping

- Bank and credit card reconciliations
- Payroll processing and payroll remittances
- GST filing and government remittances
- General ledger maintenance
- Journal entries and month-end/year-end procedures
- Preparation of financial statements and management reports
- Preparation of year-end working papers for external accountants
- Cash flow monitoring and reporting
- Collections and customer account management

Job Costing & Project Accounting

- Maintain accurate job costing for all projects
- Track labour, equipment, subcontractor, fuel, and material costs by project
- Review purchase orders, vendor invoices, and timesheets for proper job allocation
- Monitor project budgets and identify cost variances
- Prepare job cost and project profitability reports
- Assist project managers with project financial tracking
- Support progress billing, contract billing, and project close-outs
- Ensure expenses are accurately coded to the appropriate jobs and cost codes

Office Administration

- Answer phones and respond to emails professionally
- Prepare invoices, purchase orders, and customer documentation
- Maintain employee records and office files
- Coordinate office supplies and equipment




- Assist management with administrative projects
- Maintain electronic and paper filing systems
- Schedule meetings and support daily office operations

Qualifications

- Minimum 3–5 years of bookkeeping experience
- Experience with full-cycle accounting and payroll
- Strong knowledge of construction accounting and job costing
- Experience with QuickBooks (Desktop or Online), Sage, or similar accounting software
- Proficiency with Microsoft Office, including Excel
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Ability to work independently and manage multiple priorities
- Excellent communication and interpersonal skills
- Experience in the construction, piling, or oilfield industry is considered a strong asset

Compensation & Benefits

Compensation is competitive and will be based on education, qualifications, relevant experience, construction accounting knowledge, job costing expertise, software proficiency, and overall skill set.
