Your Role

The Events Logistics Officer coordinates and executes the logistical details that bring Ronald McDonald House Alberta’s Signature Events to life. This role ensures events are delivered professionally, safely, on budget, and in a way that supports donor engagement, stewardship, and fundraising goals.

This is a full-time hybrid position based in Edmonton, Calgary, or Red Deer, with regular travel to Ronald McDonald Houses and event locations across Alberta. Occasional evening and weekend work will be required to support event and organizational activities.

The successful candidate must reside in Calgary, Edmonton, Red Deer, or the surrounding areas and have a clean driving record.

Signature Events play an important role in raising funds, building relationships, and creating meaningful experiences for donors, sponsors, volunteers, and community partners. Your work ensures each event is organized, welcoming, and mission-aligned so families can continue to stay close to their seriously ill or injured child when they need it most.

Your Key Responsibilities

In this role, you will:

- Lead logistical planning and execution for Signature Events, including site operations, vendor coordination, event materials, signage, and in office troubleshooting.





- Coordinate vendor relationships, contracts, equipment transportation, inventory, and asset tracking to support seamless event delivery.

- Monitor event budgets, expenses, financial tracking, and reporting in collaboration with the Development team.

- Support risk management planning and help ensure event activities meet health, safety, and organizational requirements.

- Manage event registration systems, payment processing, participant communications, prizing, and gift distribution.

- Oversee sponsor activations and support post-event sponsor stewardship, fulfillment reporting, and impact report preparation.

- Coordinate Signature Event silent auctions, including item solicitation, pickup, storage, tracking, package preparation, online auction uploads, and post-event reconciliation.

- Maintain accurate donor records, event metrics, tracking systems, reports, and fundraising data.

- Collaborate with internal teams, volunteers, sponsors, vendors, donors, and community partners to create exceptional event experiences.

- Provide administrative support for the Events inbox, Service Clubs mailings, Corporate Challenge tracking, Birdies for Kids, and other Development initiatives as assigned.

Required Qualifications

- Post-secondary education is preferred.

- Minimum 3 years of event planning, logistics, project coordination, or related experience.

- Strong organizational, time-management, reporting, and follow-through skills with excellent attention to detail.

- Ability to manage multiple priorities, adapt to changing demands, and problem-solve in a fast-paced environment.

- Advanced working knowledge of Microsoft Office products.

- Proven ability to build and maintain strong relationships with internal and external partners.

- Valid driver’s licence,



a clean driving record and ability to travel across Alberta as required.

- Commitment to ethical fundraising practices and professional standards.

- Must provide a clear criminal record check.

Nice to Haves

- Experience using donor database or relationship management systems.

- Proficiency with Raiser’s Edge is considered an asset.

- Experience coordinating silent auctions, sponsor activations, or fundraising events.

- Comfort working with volunteers, donors, vendors, sponsors, and community partners.
