Overview:
We're looking for a friendly, calm, and leadership-oriented Front Desk Manager to join our Customer Service team at a beautiful all-inclusive Muskoka resort! This is a great opportunity for intermediate to experienced hospitality professionals who enjoy working in a fast-paced, guest-focused environment - set against the backdrop of Muskoka's lakes and forests. Wages start at $22 an hour, 30-40 hours a week.
What You'll Be Doing
● Welcome guests and provide warm, attentive service
● Act as the main point of contact for guest needs during their time at the resort, maintaining a broad and reliable knowledge base about resort amenities and the surrounding area
● Manage reservations, confirmations, changes, and cancellations through the Springer-Miller hotel management system (training will be provided)
● Complete check-ins and checkouts accurately and efficiently
● Maintain confidentiality and professionalism when dealing with private and sensitive information
● Handle intermediate mathematical calculations regarding booking and rentals costs
- The more complex billing issues and corrections are the responsibility of the Front Desk Manager, so being able to visualize and reorganize accounting-related problems is an asset
● Manage guest requests and bookings for rentals and other additional property amenities
- Any difficult requests, situations of conflict, or refunds are the direct responsibility of the Front Desk Manager, as you will help support and take over for your team as needed
● Process deposits, payments, and refunds; issue receipts as required
- Decisions on refunds and most difficulties billings or accounting management will be going directly through the Front Desk Manager and the General Manager if necessary
● Answer phone calls, emails, and all inquiries professionally
● Keep the front desk, lobby, and work areas clean, organized, and guest-ready
● Act as main coordinator and liaison for all resort departments
- As Front Desk Manager, you will be especially responsible for helping to direct and organize all teams at the resort, making sure they are aware of check-ins/checkouts, maintenance issues, and resort details. This is a key responsibility to help ensure the resort runs smoothly
● Schedule and approve shifts for other front desk staff using our scheduling and payment software
- This includes balancing days off, shift scheduling, approving payroll, and confirming hours
● Aid upper management and accounting through the generation of a variety of reports on a weekly or biweekly basis
- This includes accounting, arrival/departure, pace reporting, and any other reports as needed. As Front Desk Manager, you must be able to understand and interpret the report data to answer questions as necessary
● Prepare guest information and reports for on-site departments to keep them up to date on their workload and expectations
● Create and maintain spreadsheets and reports for gratuities, report all numbers during pay periods, and review with the accounting department when needed
● The Front Desk Manager is responsible for managing small group bookings. Larger events are handled by the Front Desk Manager and the Events Manager
What We're Looking For
● Previous customer service experience required; hospitality/front desk experience preferred
● Previous management experience required; hospitality/front desk management experience preferred
● Friendly, positive attitude with robust communication skills
● Excellent organization and attentional to detail
● Comfortable with accounting and report reading/generation
● Comfortable engaging with guests and making recommendations
● Comfortable with computers and learning reservation/POS systems (training provided)
● Comfortable with Microsoft Office technologies
● Ability to multitask in a busy environment
● Ability to remain calm and think critically in high stress situations
● Ability to lead and manage a team from both an administrative and hospitality perspective
● Ability to problem-solve and analyze problems to find the best solutions
● Conflict management and ability to maintain a calm, positive atmosphere at all times
● Ability to coordinate between staff members and multiple teams, while also coordinating with upper management as needed
● Flexible availability (days, evenings, weekends, holidays), weekends in high season required
