The Financial Services team is seeking an Executive Assistant who will work closely with the Senior Vice-President to support the achievement of our business objectives. In this role, you will also have the opportunity to showcase your organizational skills and relationship-building abilities by working closely with a team of four Vice-Presidents to help them achieve their business goals.

Your future duties and responsibilities
- Plan and organize internal and external meetings by proactively and continuously managing calendars (invitations, meeting rooms, conference calls, catering, etc.)
- Prepare agendas and take minutes for Operations Committee meetings
- Maintain excellent business relationships with clients (client executive assistants, clients during visits, etc.)
- Assist with the onboarding of new CGI consultants within the team (welcoming, ordering equipment, reserving office space, etc.) and support offboarding activities (equipment recovery)
- Monitor timesheet submissions through compliance reports
- Track the completion of mandatory training requirements for CGI consultants
- Draft and distribute informational emails to CGI consultants, as well as letters and other documents (in both English and French)
- Manage administrative procedures, including travel arrangements, expense reports, authorizations, and approvals within CGI systems
- Continuously monitor administrative processes (sales calls, annual performance reviews, system updates, etc.)
- Ensure the ongoing and compliant archiving of administrative and business documentation using the SharePoint filing system
- Prepare for and participate in events
Required qualifications to be successful in this role
- Certification or college diploma (DEC)
or relevant experience in a similar position
- Minimum of 5 years of executive-level administrative experience within a large organization
- Strong adaptability and attention to detail
- Demonstrated potential and strong motivation for the role
- Excellent writing, editing, and executive presentation formatting skills
- Experience in event planning and organization
- Intuitive, self-motivated individual with a proactive approach and initiative
- Strong listening skills and an excellent understanding of Vice-Presidents’ needs
- Sound judgment with the ability to make and execute decisions quickly
- Proactive mindset, analytical thinking, strong prioritization skills, and effective organizational abilities
- Professionalism, diplomacy, and a robust understanding of both client and employee needs
- Discretion, loyalty, and punctuality
- Excellent verbal and written communication skills in both French and English
CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is 50 000$ et 75 000$. This role is an existing vacancy.
