PROPERTY ADMIN

1 MONTH CONTRACT

EDMONTON- ONSITE

$30 HOURLY

Your Recent Role:

Accounts Receivable & Collections

- Manage tenant accounts and monitor outstanding balances.
- Initiate and follow up on collection activities to ensure rent payments are received on time.
- Maintain and reconcile tenant deposits, including security and utility deposits.
- Investigate and resolve account discrepancies, payment issues, and tenant inquiries.
- Prepare and distribute tenant account statements as required.
- Maintain accurate records of collections activity and payment arrangements.

What You Need to Do:

Accounts Payable Administration

- Process and review invoices in a timely manner.
- Match invoices to purchase orders, contracts, and supporting documentation.
- Verify account coding accuracy and ensure proper approvals are obtained.
- Follow up on discrepancies and outstanding approvals to facilitate timely payment.
- Assist with monthly accruals and financial reconciliations.
- Ensure compliance with company accounting procedures and controls.

Tenant Relations & Customer Service

- Serve as a primary point of contact for tenant inquiries and concerns.
- Address complex issues related to rent payments, collection matters, rent abatements, lease terms, tenant improvements, and maintenance requests.
- Foster positive tenant relationships to support retention and resident satisfaction.
- Coordinate communication between tenants, contractors, property management, and service providers.
- Provide professional and responsive customer service at all times.

Financial Reporting & Administration

- Prepare weekly, monthly, and quarterly reports for management review.
- Maintain accurate financial and operational records.
- Assist with monthly financial reporting and variance analysis.
- Support management with shared facilities reporting and other ad hoc reporting requirements.




- Ensure data integrity and accuracy in all reports and administrative records.

Budgeting & Forecasting Support

- Assist the District Manager or Property Manager with annual budget preparation.
- Support monthly forecasting and reforecasting activities.
- Monitor expenses and identify variances from budget.
- Assist in preparing financial documentation and reports for management review.

Leasing & Marketing Support

- Assist with leasing administration and suite rentals, as required.
- Conduct property tours and show available suites to prospective tenants.
- Process rental applications, including credit, employment, and landlord reference checks.
- Prepare lease documentation and maintain lease administration records.
- Track rental activity, inquiries, vacancy reports, and leasing statistics.
- Monitor advertising effectiveness and provide recommendations to maximize occupancy levels.

Tenant Notices & Legal Documentation

- Prepare and issue notices including rent increases, lease renewals, and move-out documentation.
- Serve legal notices relating to non-payment of rent and tenancy matters in accordance with applicable legislation.
- Follow up on outstanding tenancy matters until resolution.
- Assist with documentation required for tribunal hearings and legal proceedings.
- Maintain complete and accurate tenant files.

Property Administration & Documentation

- Prepare, maintain, and distribute building-related documentation and correspondence.
- Track maintenance, repair, HVAC, custodial, parking, and contractor records.
- Maintain resident and tenant files ensuring information remains current and compliant.
- Manage office supplies inventory and administrative records.
- Assist in developing and implementing administrative process improvements.
- Provide recommendations to improve resident relations, operational efficiency, and property maintenance standards.

What You'll Need to Succeed:

- College Diploma in Business Administration or an equivalent combination of education and experience.




- Minimum 5 years of experience in property administration, property management, or a related field.
- Strong understanding of tenancy agreements, lease administration, and tenant relations.
- Working knowledge of the Residential Tenancies Act and/or Condominium Act, depending on property requirements.
- Knowledge of applicable municipal by-laws and property-related regulations.
- Experience with accounts receivable, collections, accounts payable, and financial administration.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience preparing reports, budgets, forecasts, and financial documentation.
- Familiarity with property management software such as Yardi, MRI, or similar systems is considered an asset.
