THE ROLE
As Executive Assistant, you will be the quarterback and direct support partner to Snowdon's principals (Dan and Liroy), enabling them to achieve their objectives and be effective in their roles by managing the building blocks of their administrative ecosystem. You will manage core administrative functions, facilitate scheduling, coordinate meetings across the portfolio, ensure the principal’s time is used efficiently and protected when needed, and most importantly, “look around corners” to ensure that any challenges are managed ahead of time and don’t become bottlenecks to progress. By doing this, you will enable the pace and momentum of Snowdon Partners as a whole and create the conditions for the firm’s success.
You'll be the administrative center of the firm as someone who takes full ownership of their work, brings structure to a high volume of moving pieces, and is trusted to handle sensitive information with good judgment, care and discretion.

KEY RESPONSIBILTIES
Executive & Administrative Support
- Support partners across internal and external initiatives by providing leverage on their time (emails, priority follow-ups, calendar management, meeting and presentation preparation)
- Ensure proper company corporate and administrative setup, including tight document management
- Coordinate executive team & employee travel, including flights, lodging and other reservations
- Manage handful of high importance personal errands and administrative requests for executives
- Adapt seamlessly to changing demands, responsibilities, and the different working styles of the leaders you support
- Keep company stakeholders informed on key updates and developments
- Oversee the planning and execution of board meetings for all portfolio companies
- Coordinate meal arrangements, catering, and lunch for executives and meetings
Financial & Office Administration
- Manage company accounts, subscriptions, payments to suppliers, and other administrative tasks
- Manage bookkeeping, bank reconciliations and intercompany chargebacks
- Support year end filings and tax document preparation for hand off to accounting firm
- Manage office budget and financial administration, from handling expenses to implementing tracking processes
Projects & Special Initiatives
- Coordinate and execute the planning of social events
- Perform research and provide executives with synthesized findings on a variety of topics
- Independently develop viable solutions to problems as they arise
- Lead a variety of internal and external projects at the request of the partners and ensure follow-ups with the teams
- Optimize administrative workflows across the office
- Perform copywriting, basic graphic design, corporate website updates and light content creation tasks as the need arises
YOUR PROFILE
- 5+ years of professional experience in a fast-paced environment
- Bachelor's degree in business administration or equivalent experience
- A practical approach paired with business acumen
- Comfortable on a small team juggling a wide range of responsibilities
- Proactive and self-motivated - you initiate and complete projects with minimal guidance
- Flexible, detail-oriented, and organized with a knack for efficiency
- Able to anticipate management's needs while keeping company goals in view
- Trusted to handle sensitive and confidential information with discretion
- Strong communicator, able to engage respectfully and effectively with stakeholders inside and outside the company
- Self-directed, with a preference for autonomy and creative problem-solving
- Excellent Excel skills and strong proficiency Microsoft Office Suite
- Familiarity with QuickBooks Online is a plus
- Fluent in English & French (written and spoken)
