We are looking for an Executive Assistant to support an Executive Director while helping drive human resources and administrative operations for a Healthcare office. This position blends executive coordination with hands-on HR administration, requiring strong judgement, organization, and the ability to manage sensitive information with discretion. The successful candidate will contribute to employee programs, leadership support, and governance activities in a fast-paced, detail-focused environment.
Responsibilities:
• Coordinate executive schedules, organize meetings, assemble briefing materials, and support daily priorities for senior leadership.
• Contribute to human resources planning by maintaining policies, tracking staffing needs, and supporting recruitment activities from posting through interviews and onboarding.
• Partner with internal leaders on employee relations matters, including workplace concerns, accommodations, investigations, and progressive discipline processes.
• Support compensation and benefits administration in collaboration with finance, while maintaining accurate employee files, training records, and related documentation.
• Monitor vacation scheduling and mandatory training completion to help ensure operational coverage and compliance requirements are met.
• Prepare internal and external communications such as reports, presentations, announcements, newsletters, and meeting summaries.
• Act as a liaison for board and governance activities by organizing meetings, compiling agendas and packages, and safeguarding confidential materials.
• Respond to inquiries from internal stakeholders and external partners, resolving escalated administrative issues in a thorough and timely manner.
• Assist with workplace administration tasks such as access credentials, parking coordination, leadership events, and support for volunteers assigned to the portfolio.
Requirements:
• Minimum 3 years of relevant experience in executive support, administration, human resources, or a related function within a Healthcare environment.
• Strong experience supporting senior leaders, including calendar management, meeting coordination, travel arrangements, and expense reporting.
• Excellent written and verbal communication skills, with the ability to prepare clear business correspondence and presentations.
• Demonstrated ability to manage confidential information with sound judgement, tact, and discretion.
• Highly organized with robust attention to detail and the ability to balance multiple priorities effectively.
