An exciting opportunity has become available for an experienced Legal Assistant to join a busy Intellectual Property practice, providing direct support to a senior Partner and assisting with a broad range of trademark matters.
Your New Role
This position is ideal for a strong Legal Assistant who enjoys becoming an indispensable resource to their lawyer and takes pride in providing exceptional administrative and practice support.
Working closely with a well-established Partner, you will be responsible for ensuring the smooth day-to-day management of the practice while supporting trademark prosecution and portfolio management activities.
Key responsibilities include:
- Preparing, proofreading, revising, and formatting correspondence and legal documents
- Assisting with trademark applications, renewals, registrations, and related filings
- Preparing and filing documentation with the Canadian Intellectual Property Office (CIPO)
- Monitoring and managing critical trademark deadlines
- Opening, maintaining, and closing electronic and physical client files
- Managing calendars, meetings, reminders, and workflow priorities
- Preparing client reporting and maintaining trademark records
- Coordinating document execution and correspondence with clients, agents, and foreign associates
- Tracking expenses, processing accounts, and supporting billing activities
- Maintaining accurate records within practice management and docketing systems
- Providing proactive administrative support to a busy Partner who values strong organizational and technical skills
This role has a significant administrative component and requires someone who is comfortable anticipating needs, troubleshooting technology, and serving as a trusted right hand to the lawyer.
What You'll Need to Succeed
To be considered for this opportunity, you will possess:
- 3-5 years of experience as a Legal Assistant within a law firm environment
- Prior Intellectual Property or Trademark experience is highly preferred
- Experience working with CIPO filings and trademark applications would be considered a strong asset
- Exceptional organizational and time-management skills
- Strong attention to detail and commitment to accuracy
- Exceptional client service and communication skills
- Advanced proficiency with Microsoft Office and legal practice management software
- Strong technical aptitude and confidence troubleshooting technology and software issues
- The ability to work independently, prioritize competing demands, and remain calm in a busy practice
A Law Clerk diploma is not required for this position. The successful candidate will be selected based on relevant legal assistant experience, technical aptitude, and their ability to provide high-level administrative support.
