About the Opportunity

Our client is seeking a highly organized and proactive Executive Administrative Associate to provide executive-level support within a dynamic, fast-paced professional services environment. This role serves as a trusted partner to senior leadership, ensuring seamless coordination of priorities, schedules, communications, and day-to-day operations.

The successful candidate will play a key role in keeping executives informed, prepared, and operating efficiently while acting as a qualified liaison with internal teams, clients, and external stakeholders. This position requires exceptional judgment, discretion, business acumen, and the ability to anticipate needs in a high-performance environment.

Key Responsibilities

- Provide proactive executive support to senior leaders, managing complex calendars, scheduling, communications, and shifting priorities.
- Handle highly confidential information with professionalism, discretion, and sound judgment.
- Coordinate domestic and international travel, including itineraries, accommodations, and meeting logistics.
- Manage executive expense reporting, ensuring accuracy, compliance, and timely processing while collaborating with Finance as needed.
- Organize meetings by coordinating schedules, meeting rooms, virtual platforms, catering, presentation materials, and supporting documentation.
- Prepare, edit, organize, and maintain business documents while ensuring accuracy and confidentiality.
- Support the planning and execution of client meetings, corporate events, and internal initiatives by coordinating logistics and stakeholder communications.
- Serve as a professional point of contact for executives, clients,



and external partners, delivering a high standard of service.
- Identify opportunities to improve administrative processes, increase efficiency, and support operational excellence across the team.
- Provide cross-functional administrative support and contribute to special projects, reporting, and other initiatives as required.

Qualifications

- Demonstrated experience supporting senior executives or leadership teams within a professional, corporate environment.
- Proven ability to manage complex calendars, travel arrangements, meetings, and executive priorities with minimal direction.
- Advanced proficiency with Microsoft Office, including Outlook, Excel, Teams, and SharePoint, along with expense management platforms.
- Strong adaptability and the ability to thrive in a dynamic, rapidly changing environment.
- Excellent interpersonal skills with a client-service mindset and a commitment to professionalism.
- Valid Ontario Class G driver's licence and willingness to provide occasional off-site support when required.
