Overview

Doane Grant Thornton is a large, growing professional services firm that values client service, community, and teamwork. We serve a national client base across Canada and support a large executive team across multiple locations.

Responsibilities

- Provide executive-level administrative support to the National Management Committee (NMC) and Senior Leadership Team (SLT), including calendar management, travel logistics, and meeting coordination.
- Coordinate and draft agendas, documents, and minutes for high-level executive meetings.
- Act as liaison between the COO, RMPs, partners, and other departments.
- Maintain a centralized database of meeting minutes and action items using the NMC decision tracker.
- Oversee complex calendar management and scheduling for NMC members, ensuring optimal use of time and alignment with strategic priorities.
- Manage travel arrangements, meals, social activities, and virtual technology for traveling executives.
- Support expense report management and assist with preparation of strategic reports and documentation.
- Contribute to planning and execution of the Annual Partners’ Meeting and annual Principal Panel process.
- Manage candidate scheduling, interview documentation, and logistics for the Principal Panel.

Qualifications

- Post‑secondary education; successful completion of a diploma or degree program.




- Minimum of 8 years experience as an executive assistant supporting multiple VP and above positions in a medium to large national or multi‑jurisdictional organization.
- Experience in program management and process‑driven environments.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Strong proficiency in confidential/sensitive matter handling, judgment, and communication skills.
- Excellent written and verbal communication in English; high attention to detail and proofreading ability.
- Proven ability to multi‑task, prioritize, and deliver high‑quality work in a demanding environment.
- Experience in professional services environment is an asset.
