Our client, a well-established and growing wealth management firm, is seeking an Associate Portfolio Administrator to join their team in Oakville as an incremental hire! This is an excellent opportunity for an organized and client-focused professional looking to build their career in investment management. Working alongside experienced Portfolio Managers, Advisors, and Relationship Managers, you'll play a key role in supporting client accounts, coordinating investment administration, and delivering an exceptional client experience in a collaborative, team-oriented environment.
Responsibilities:
Client Service & Relationship Support
- Act as a primary point of contact for clients and internal stakeholders, responding to inquiries in a professional and timely manner.
- Support Portfolio Managers and Relationship Managers with day-to-day client servicing requests.
- Coordinate client communications while maintaining a high standard of responsiveness and professionalism.
- Work closely with colleagues to identify opportunities to improve operational workflows and client service processes.
- Assist with client events, marketing initiatives, and other business development activities when required.
- Contribute to additional projects and responsibilities across client service, operations, and administrative functions as business needs evolve.
Account Administration
- Manage the full client account lifecycle, including new account openings, maintenance, transfers, and account closures.
- Review account documentation to ensure accuracy, completeness, and compliance with regulatory requirements.
- Follow up on outstanding or incomplete documentation to ensure accounts are processed efficiently.
- Coordinate account transfers and monitor progress through to completion.
- Process a variety of client transactions, including electronic funds transfers (EFTs), wire payments, recurring deposits, and withdrawals.
- Maintain accurate client records by updating internal systems and documentation throughout account changes.
- Perform daily reconciliation of account activity received from custodians and investigate discrepancies as needed.
- Prepare and distribute onboarding materials and welcome packages for new clients.
- Review, finalize, and distribute quarterly client reporting.
- Assist with ongoing administration related to DSC mutual fund reporting and follow-up activities.
Administrative & Team Support
- Provide general administrative assistance to support the day-to-day operations of the team.
- Foster a collaborative, team-oriented environment by stepping in wherever needed to help achieve shared objectives.
- Stay informed on industry developments, regulatory updates, and best practices through ongoing professional development.
Qualifications:
- Post-secondary education in Finance, Commerce, Economics, Business, or a related field.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Experience using financial services or portfolio management software is considered an asset.
- Excellent organizational and time management skills with the ability to manage multiple priorities.
- Strong communication and interpersonal skills with a client-first mindset.
- Comfortable working both independently and collaboratively within a team environment.
- Completion of the Canadian Securities Course (CSC), or progress toward obtaining it, is considered an asset.
- Highly detail-oriented with strong analytical and problem-solving abilities.
- Quick to learn recent systems and processes.
- Self-motivated, adaptable, and eager to take initiative.
- Able to remain organized and productive while working in a fast-paced environment.
This opportunity offers a salary range of $55,000–$65,000, depending on experience.
