This position will provide general reception duties and administrative support to all staff and clients at Achev's Language Assessment Centre locations in York, Simcoe, Durham regions and itinerant locations as required to meet funder obligations and client needs on a casual basis.

DUTIES AND RESPONSIBILITIES

Assist assessment staff and provide front desk support at Language Assessment Centers.

Attentively greet clients and visitors to the center and ensure they are attended to in a timely manner.

Answer phones promptly and minimize messages going to voice mail.

Ensure that client phone messages are returned swiftly





Schedule and monitor appointments using the HART s and OneClient System

Confirm client appointments and reschedule appointments as needed

Update client information in HARTs

Perform a variety of clerical duties including filing, typing, photocopying, faxing, confidential record keeping, and document distribution in accordance with company policies and procedures.

Record and distribute accurate meeting minutes, action items, and follow-up documentation in a timely manner.

Kindly receive clients and respond to emails/phone calls in a positive and professional manner

Actively refer client requests to appropriate staff

Assist in the administration and monitoring of online assessments via web/portal

QUALIFICATIONS

Solid fluency in English and other languages an asset

Secondary education with training in office technology

Knowledge of Achev and other programs relating to community and settlement programs in York, Simcoe and Durham regions

Excellent communication skills, both verbal and written, to interact with a wide range of individuals in a variety of situations which often require tact, diplomacy and discretion

Experience in customer service

Good interpersonal skills, cultural sensitivity, problem-solving and self-managing organizational skills





Ability to communicate in other languages is an asset

Computer-literate with proficiency in MS Outlook, MS Office and databases such as HARTS and statistical record keeping

Sensitivity to the diverse needs of adult learners and the multicultural community

Advanced working knowledge of Microsoft Excel, including data entry, spreadsheet management, sorting and filtering, formulas, data validation, report generation, and basic data analysis.
Experience working with databases, client management systems, data tracking, statistical reporting, and record management.

Provision of satisfactory Criminal Record Check required

Must be able to work online/remotely as needed

Available to work days, occasional evenings and Saturday shifts

Reliable vehicle and willingness to work out of multiple designated sites an asset

Hourly rate: $25.75
