About the Role
As a Media Finance AR Specialist , you’ll help keep the numbers honest in a world of marketing fluff and dashboard-driven confusion. This is a 14-month contract position covering a maternity leave , managing the day-to-day accounts receivable process with accuracy, urgency, and care. You’ll oversee client billing coordination, payment follow-up, invoice reconciliation, and AR communication across finance, planning, and digital teams to keep campaigns and accounts on track. This isn’t a paper-pushing gig. We want someone detail-oriented, collaborative, and ready to jump into a fast-moving agency environment where the work matters and the people do too.

Your Impact

Manage the day-to-day accounts receivable process, including maintaining the AR calendar, tracking billing timelines, and ensuring key deadlines are met.

Work closely with the planning team to ensure required billing details, campaign information, and client instructions are accurately captured in agency systems.





Share billing details with the planning team for review and approval, maintaining transparent and open communication to ensure client billing instructions are followed accurately.

Create approved client invoices, send invoices to clients, and follow up on outstanding invoices and overdue client payments.

Manage and share the agency BCR with the planning team, ensuring billing status, approvals, and required follow-ups are clearly communicated.

Update agency technology and financial systems with client payments, invoice status, and AR activity to maintain accurate account records.

Reconcile client payments received in the bank account against client invoices to ensure payments are matched and recorded correctly.

Troubleshoot technology and process issues with internal technology teams, external partners, and system vendors as needed.

Provided vacation coverage for the Accounts Payable function, ensuring continuity of operations. Processed vendor invoices by accurately recording transactions and obtaining the required approvals. Prepare weekly Accounts Payable reports to support financial tracking and management.

Your Qualifications

College Diploma or bachelor’s degree, preferably in advertising, marketing, business administration,



accounting, finance, or communications, or equivalent work experience.

3+ years’ experience in a project-based agency or corporate environment, with direct experience supporting accounts receivable, billing, reconciliation, or finance operations.

Advanced digital literacy, with strong proficiency in financial and non-financial systems, including Excel and media/finance applications, including QBO.

Comprehensive knowledge of accounting practices, AR management, and financial systems.

Annual Salary Range:
$55,000 to $65,000, based on the successful candidate’s experience and qualifications.

Contract Term:
September 2026 to November 2027.
