About Us

The mission of the Department of Obstetrics & Gynaecology is to promote excellence in-patient centred care for women and their families together with our healthcare partners, and through education and research relating to all aspects of women’s healthcare.

Responsibilities

The Program Assistant provides administrative expertise for all aspects of medical education in the Department of Obstetrics & Gynaecology, ensuring adherence to program standards. The role will provide a first point of contact for all inquiries from current and prospective residents and fellows, and will provide support pertaining to the Obstetrics & Gynaecology education programs. The Program Assistant works closely with the academic committees to enhance the education programs by providing support to the trainees, organizing and collecting evaluation data, and arranging examinations, teaching activities and events, and may be providing support for the coordination of recruitment activities of residents.

Qualifications





Education:

- 3-year community college diploma in Business Management/Administration or related field

Experience:

- 4 years of experience in an academic environment providing administrative support

Knowledge, Skills & Abilities:

- Detailed working knowledge of the requirements for medical education programs
- Influential interpersonal skills that build positive and strong relationships at all levels of the department (leadership, faculty, staff and students) as well as external stakeholders/agencies (Western hospital communities, Dean’s office, post graduate office)
- Excellent verbal and written communication skills and confidence dealing with all levels of an organization
- Self-motivated with strong organizational skills
- Highly proficient with the ability to coordinate a variety of activities on a daily basis, in a fast-paced, demanding setting
- Diplomatic and proactive with an ability to work independently as well as within the administrative team
- Must be able to interact with a diverse multi-disciplinary team (physicians, students, administrative staff)
- Ability to work effectively within a database




- Significant computer skills needed to troubleshoot issues relating to software and hardware
- Ability to multi-task and prioritize work systematically and be able to work with minimal supervision
- Flexibility to work outside of regular business hours to accommodate department events and activities (such as 7 am or 5 pm), and travel on occasion
- Intermediate computer skills in Microsoft Office products (Word, Excel, Power Point, Outlook) and Adobe Acrobat; knowledge of One45 (student evaluation software), Elentra, Acuity STAR, would be an asset
