The role in one line
Orders come in, inventory sits across multiple distribution centres, and containers arrive late or get re-routed — you keep all three in sync so complete orders ship on time and customers always know where they stand.
What you'll actually be doing
You are the connection point between our customers, our warehouse teams, and our inbound container flow. Your day runs on Excel, our ERP system, and Outlook: order status reports, allocation trackers, shipment schedules, and quotes. Roughly speaking — half customer and order work, a third warehouse and inventory execution, the rest inbound shipments and reporting.
The work rewards precision. A wrong quantity on a purchase order, a container assigned to the wrong distribution centre, or an allocation missed by one carton turns into a short-shipped customer three weeks later. We're looking for someone who catches those things before they happen.
About us
We're a home décor wholesale distributor in Mississauga, supplying retailers across Canada since 1991. Thousands of SKUs across dozens of categories, imported directly from overseas suppliers, with our own showroom and distribution network. Small team — you'll touch the business end to end, and good ideas get implemented quickly rather than studied for a quarter.
Responsibilities Customer & Order management
- Respond to customer inquiries by phone and email — order status, availability, pricing, delivery timing — accurately and promptly
- Enter and maintain orders in the ERP: data entry, quotes, status reports, pricing and terms verification
- Obtain, file, and maintain order correspondence and documentation so every order has a clean, auditable trail
- Communicate backorders, short ships, and revised ETAs proactively,
before the customer has to ask
- Resolve order issues — shortages, damages, discrepancies — and process credits, returns, and replacement orders
- Keep customer and item master data accurate in the ERP
Warehouse Execution
- Release orders to the distribution centre teams and invoice them
- Work daily with the warehouse lead to prioritize the pick queue, flag urgent orders, and clear anything blocking a dispatch
- Confirm orders are picked, packed, and dispatched against our deadlines
Inventory allocation
- Allocate inventory between distribution centres so orders can ship complete rather than in pieces
- Raise inter-branch transfers and track them through to receipt
- Investigate and resolve inventory discrepancies; support cycle counts and stock accuracy work
Inbound & Import Coordination
- Own our import shipment scheduler — update container ETAs, delays, and re-routings, and coordinate the destination distribution centre for each container
- Maintain vendor purchase orders: quantities, costs, ship dates, and container assignments, with accuracy as the standard
- Liaise with freight forwarders and our customs broker on documentation and clearance
- Flag inbound delays that put customer orders at risk and communicate revised timing to sales and customers
Showroom & Administration
- Support B2B sales for retail buyers visiting our showroom — write orders, pull product information, answer questions
- Coordinate product sample photography so every sample is captured and catalogued
- General administrative work as assigned by the team
- Attend internal meetings on strategy and workflow improvement
- Assist with trade show preparation and on-site support as needed
What we're looking for
Required
- 2+ years in order management, logistics coordination, inside sales support, or a comparable coordination role
- Strong Excel — this role is built on it. Comfortable working in large files with filters, pivot tables, and lookup formulas (VLOOKUP/XLOOKUP), and confident that your numbers are right
- Hands-on experience with an ERP or order management system
- Demonstrated attention to detail — you notice when a figure doesn't look right and you check it rather than passing it along
- Clear, professional written and verbal communication with customers and internal teams
- Ability to hold several moving deadlines at once and prioritize without being managed through it
- Office 365: Outlook, Excel, Word
Considered an asset
- Wholesale, distribution, or import/export background
- Exposure to inbound freight, customs documentation, or container logistics
- Familiarity with EDI order flows
- Experience with home décor, giftware, or another high-SKU-count product line
- Second language — we serve retailers across Canada

Pay: $45,000.00-$49,226.62 per year
