Capital Housing Assistant

Reports To:

Director of Capital & Housing

Position Type:

Full-Time, Permanent

Hours of Work:

35 hours/week (Monday to Friday, 8:30 AM – 4:30 PM)

Position Summary

The Capital & Housing Assistant provides direct administrative and technical support to the Director of Capital & Housing for Tsay Keh Dene Nation.

This position plays a key support role in capital and housing initiatives by assisting with documentation, tracking, reporting, and basic technical coordination. The Assistant must be comfortable working with project-related information, construction terminology, measurements (e.g., square footage), materials, and basic technical data to support decision-making and project execution.

The role requires strong organizational skills, attention to detail, and proficiency in Microsoft Word and Excel, along with the ability to support multiple priorities in a fast-paced setting.

Key Responsibilities

1. Administrative Support

- Provide direct administrative support to the Director of Capital & Housing
- Maintain schedules, calendars, and coordinate meetings
- Prepare agendas, take meeting minutes, and distribute documentation
- Draft and format correspondence, reports, and internal documents




- Maintain organized filing systems (electronic and paper)

2. Project & Technical Support

- Assist the Director with tracking capital and housing projects, timelines, and deliverables
- Support preparation and review of project documents, including quotes, invoices, and reports
- Work with basic technical information such as:
- Measurements (e.g., square footage, quantities)
- Material lists and specifications
- Project-related data and estimates
- Input and maintain project tracking spreadsheets using Excel
- Assist in gathering and organizing information required for decision-making
- Support communication and follow-ups with contractors, suppliers, and internal staff

3. Documentation & Reporting

- Create and maintain spreadsheets, reports, and logs for project tracking
- Ensure documentation is accurate, complete, and up to date
- Assist with procurement tracking (purchase orders, deliveries, invoices)
- Compile data for reporting purposes as required by the Director

4. General Support

- Assist with coordinating meetings and project-related activities
- Support special projects and assignments as directed
- Perform other related administrative duties as required





Qualifications

Education & Experience

- Post-secondary education in Administration, Office Support, Construction Support, or related field preferred
- Grade 12 with relevant experience will be considered
- 1–3 years of administrative or project support experience
- Experience supporting projects or working in construction, housing, or technical environments is an asset
- Equivalent combination of education and experience may be considered

Knowledge, Skills & Abilities

- Proficiency in Microsoft Word and Excel (required)
- Ability to understand and work with basic construction or project terminology
- Ability to work with numbers, measurements, and simple calculations (e.g., square footage, quantities)
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Ability to maintain confidentiality
- Strong communication and interpersonal skills
- Ability to take direction and provide reliable support
- Cultural awareness and respect for Tsay Keh Dene Nation values
- Professional, flexible, and dependable

Other Requirements

- Valid BC Driver’s License (preferred)
- Criminal Record Check (required)
