About the position

Burton Tree Service is an established arboricultural company serving residential, commercial and institutional clients across the North Okanagan and Shuswap.

We are looking for a reliable, organized Marketing & Administrative Coordinator to keep our marketing, institutional outreach and procurement activities moving consistently.

The coordinator will work directly with the owner and liaise with outside marketing contractors. The role combines professional writing, online research, digital-platform administration, follow-up and recordkeeping.

This is an ongoing part-time employee position beginning with a six-week paid introductory and performance-review period. If the arrangement is successful, the hours and responsibilities may gradually expand into broader office coordination, customer intake and scheduling.

Primary responsibilitiesMarketing coordination

- Act as the internal contact for routine communication with marketing agencies and contractors
- Track agency recommendations, outstanding requests, approved changes and deliverables
- Provide contractors with approved photos, company information and lead-quality feedback
- Organize job photos, project information and content ideas
- Draft and schedule approved Facebook and Instagram posts
- Prepare Mailchimp newsletters using established templates
- Format and upload approved WordPress blog posts and basic website content
- Publish approved Google Business Profile updates and photos
- Maintain a practical content calendar
- Keep a record of significant advertising, website and tracking changes
- Review basic marketing reports and prepare questions requiring owner decisions
- Help connect marketing activity with actual lead quality, quoted work and booked work

Outside specialists will continue to lead advertising strategy, conversion tracking and complex website work. This position is responsible for coordination, production, monitoring and follow-through—not independently controlling advertising strategy or spending.

Institutional outreach and procurement

- Research municipalities, regional districts, resorts, utilities, contractors, property managers and other potential institutional clients
- Identify and verify relevant departments, decision-makers and procurement routes
- Maintain an organized target-account and opportunity tracker
- Draft personalized introductory emails using approved company information
- Send approved outreach and complete scheduled follow-ups
- Record responses, next actions and potential opportunities
- Identify vendor lists, registrations, prequalification processes and upcoming work




- Monitor BC Bid, CanadaBuys, municipal procurement pages and related sources
- Screen notifications using defined criteria
- Prepare concise summaries of potentially suitable opportunities
- Track deadlines, mandatory requirements and submission tasks
- Maintain capability, insurance, WorkSafeBC and certification documents
- Assist with standard administrative portions of vendor registrations and submissions

The owner will retain responsibility for arboricultural decisions, pricing, technical commitments, bid/no-bid decisions and final submissions.

Administration and reporting

- Keep shared trackers, calendars and files accurate and current
- Prepare a concise weekly activity and results report
- Clearly identify work awaiting owner input or approval
- Organize limited marketing and business-development expense documentation
- Document recurring procedures as they are established

Potential future responsibilities may include answering routine calls, collecting lead information, scheduling estimates within defined rules, sending customer confirmations and maintaining additional office or equipment records. These are not primary expectations during the introductory period.

Applicants are not expected to be experts in every platform. Practical experience with some of these systems, combined with the demonstrated ability to learn unfamiliar platforms, is preferred.

Google Ads responsibilities will initially focus on reporting, coordination, quality control and communication with our marketing contractor. Campaign strategy, bidding, targeting and conversion changes will require authorization.

What success looks like

During the first six weeks, success will be measured by:

- Reliable completion of agreed work
- Accurate, current and understandable trackers
- Professional writing requiring limited correction
- Relevant and verified institutional contacts
- Consistent completion of scheduled follow-ups
- Appropriate procurement opportunities being identified and summarized
- Marketing content progressing according to the agreed calendar
- Every active item having a status, next action and date
- Prompt communication about blockers or required approvals




- Responsible use of scheduled hours
- Evidence that feedback is being applied

Institutional contracts can have long sales cycles. Performance will therefore be evaluated primarily on reliability, accuracy, judgment, writing quality and follow-through—not only on revenue booked during the introductory period.

Qualifications

The successful candidate will have:

- Strong professional writing and proofreading skills
- Accurate online research and recordkeeping
- Demonstrated reliability with deadlines and follow-ups
- Confidence using spreadsheets, shared documents and online systems
- The ability to work independently between meetings
- Good judgment about when information needs verification or owner approval
- The ability to learn unfamiliar platforms and industry terminology
- Respect for confidential customer and business information

Experience in administration, project coordination, marketing support, WordPress, Mailchimp, Meta, Google platforms, municipal administration, property management, proposal coordination or procurement would be helpful.

Direct arboriculture experience is not required.

Hours and working arrangement

- Approximately 8–10 hours per week initially
- Potential to grow to approximately 10–15 hours per week
- Primarily remote, with occasional paid meetings in the Enderby area
- One consistent weekly review meeting
- Some weekday availability for time-sensitive coordination
- Flexibility in when most work is completed, subject to agreed deadlines
- Additional hours require prior approval
- Company-owned accounts and software access will be provided where required

Applicants should reside within reasonable travelling distance of Enderby and have a suitable computer, reliable internet connection and a private workspace.

Compensation

$26–$30 per hour, depending on relevant experience and demonstrated capability.
