Job Summary
Definitive! Automotive Detailing is seeking a mature, responsible & results-focused Operational Supervisor to coordinate daily shop and mobile operations.
The Operational Supervisor will be responsible for maintaining workflow, delegating responsibilities, supporting team members, monitoring service timelines & ensuring every completed vehicle meets our Definitive! Standards.
This role is best suited for a natural go-getter who is consistent, self-motivated, goal-oriented & capable of making sound operational decisions without requiring continuous Owner | Operator oversight. The successful candidate must demonstrate urgency, perseverance & the ability to remain composed and productive within a fast-paced environment.
The Operational Supervisor will work alongside the Owner | Operator, providing operational support, leadership & delegation whenever required. Although the position operates with significant independence, all major decisions must remain aligned with company procedures and Owner | Operator direction.
Primary Responsibilities
- Coordinate daily shop and mobile detailing operations
- Review scheduled appointments, service packages, client requests & expected completion times
- Assign vehicles, responsibilities & secondary duties to available team members
- Ensure workloads are distributed fairly and strategically
- Monitor progress throughout each detailing session
- Identify delays early & make immediate workflow adjustments
- Ensure services are completed within their expected timeframe
- Conduct final quality-control inspections before vehicles are released
- Confirm that no vehicle leaves without meeting Definitive! Standards
- Maintain consistent communication with the Owner | Operator regarding workflow, staffing, delays, incidents & client concerns
- Provide hands-on support during high-volume periods or operational delays
- Lead opening, closing & daily facility-readiness procedures
- Maintain an organized, clean, presentable & production-ready workplace
- Ensure equipment, tools, chemicals & company property are used responsibly
- Maintain confidentiality regarding company procedures, client information, pricing & internal operations
Team Leadership & Delegation
- Provide clear, professional & direct instructions to team members
- Delegate primary services, secondary duties & cleaning responsibilities
- Confirm that assigned duties are acknowledged and completed
- Hold team members accountable for attendance, productivity, quality & conduct
- Coach staff on workflow, equipment use, detailing techniques & company procedures
- Correct performance concerns before they result in delays, rework or client dissatisfaction
- Lead by example through urgency, discipline, professionalism & attention to detail
- Encourage a genuine “We Over Me” working environment
- Support new employees during training and assess their independence, consistency & coachability
- Document recurring performance, attendance or conduct concerns
- Escalate serious or unresolved matters to the Owner | Operator
Client Experience & Satisfaction
- Follow up with clients before, during or after appointments when required
- Confirm appointment details, vehicle concerns, service expectations & completion times
- Communicate professionally regarding delays, additional cleaning requirements or service recommendations
- Ensure every client receives a personable, organized & professional experience
- Address reasonable questions or concerns promptly
- Attempt to resolve service concerns before they escalate
- Follow up with clients to confirm satisfaction when directed
- Maintain accurate notes regarding client requests, complaints, resolutions & future recommendations
- Protect client trust, privacy, property & vehicle information
- Help ensure every interaction reflects the Definitive! Difference
Square Point-of-Sale Responsibilities
- Confidently operate the Square point-of-sale system
- Create, review & update client appointments
- Prepare invoices and confirm service pricing
- Add approved upgrades, additional labour or service charges
- Process debit, credit, cash and other approved payment methods
- Issue receipts and document payment details accurately
- Confirm deposits, outstanding balances, refunds or payment discrepancies
- Maintain accurate client profiles, service notes & transaction records
- Support daily sales reconciliation and report inconsistencies immediately
Inventory & Product Management
- Monitor chemical, product, towel, equipment & supply levels
- Maintain an accurate inventory of frequently used products
- Anticipate shortages before they interrupt operations
- Prepare and submit supply orders for approval
- Place approved product orders within the required timeframe
- Receive deliveries and confirm quantities, condition & pricing
- Label, organize, store and dilute products according to company procedures
- Track excessive product usage, waste, damage or missing inventory
- Communicate equipment repair or replacement needs promptly
- Maintain relationships with approved suppliers when directed
Operational Decision-Making
Operational decisions must be based on client commitments, productivity, safety, quality, staffing needs & established company procedures.
The successful candidate must be capable of managing personal emotions professionally. Personal frustration, mood or disagreements must not interfere with communication, workflow, decision-making or client service.
Legitimate workplace concerns will be heard and addressed respectfully through the appropriate process. However, the Operational Supervisor is expected to remain composed, objective & solution-focused while responsibilities are being completed.

Required Qualifications
- Previous supervisory, team-lead or operational leadership experience
- Previous automotive detailing, automotive service or comparable hands-on operational experience
- Demonstrated experience using Square Point of Sale
- Experience coordinating staff, schedules, appointments or workflow
- Strong client-service and conflict-resolution abilities
- Experience ordering products and maintaining inventory
- Strong attention to detail and quality-control awareness
- Ability to prioritize and manage multiple vehicles and deadlines
- Strong verbal and written communication
- Proven dependability, consistency & professional judgment
- Ability to accept direction, coaching & accountability
- Valid Ontario G2 or G driver’s licence
- Reliable transportation to the workplace
- Professional references
- Criminal record check may be required as a condition of employment
Preferred Qualifications
- Experience supervising an automotive detailing facility
- Experience with mobile detailing operations
- Familiarity with steam cleaners, extractors, pressure washers, polishers & detailing chemicals
- Experience handling invoices, client concerns & payment reconciliation
- Knowledge of workplace safety, chemical handling & equipment-maintenance procedures
- Experience training or evaluating employees
